# PO matching for SYSPRO

SYSPRO has PO matching built in. Pulsify matches each bill line to a purchase order line and flags extra quantity, a different price or lines not on the purchase order.

PO matching means checking a supplier bill against the purchase order it belongs to before you pay it.

## What SYSPRO does on its own

Matches invoices to GRN lines with a variance check.

- Needs GRN suspense and Purchase Orders module.

## What you need in SYSPRO

- Purchase Orders module
- GRN suspense system required setup option
- GRN matching required ticked on the supplier

## Setting it up in SYSPRO

Where to find it: Program List > Accounts Payable > Invoice Processing (AP Invoice Posting) > GRN matching

1. Tick GRN matching required against the supplier in the Suppliers program.
2. Receipt each delivery in Purchase Order Receipts.
3. In AP Invoice Posting load the GRNs for the supplier.
4. Tick Match for the lines the invoice covers.
5. Tick Partial match if the invoice covers only part of a line.
6. Post. Value moves from GRN suspense to the supplier.

## Good to know in SYSPRO

- Matching is to GRN lines. There is no bill to PO match without a GRN.
- A GRN dated in a later period than the AP posting period is not listed.
- Turning off GRN matching needs the AP Untick GRN matching required activity.

## What Pulsify adds

1. Your open purchase orders come into Pulsify from SYSPRO.
2. Pulsify links each invoice to its purchase order.
3. It matches each invoice line to a PO line and flags lines that bill more than ordered, are priced differently or are not on the PO.
4. A panel shows how much of the PO has been claimed, what this invoice adds and what is left. This handles part deliveries and progress claims.
5. Approve. The supplier invoice is created in SYSPRO against the purchase order.

Pulsify connects to SYSPRO. We set up the connection for you.

What Pulsify does not do:

- PO matching is two-way: invoice to PO. Pulsify has no goods receipts.
- There is no tolerance setting. Pulsify compares to the cent and the approver decides.
