# PO matching in MYOB Acumatica for builders

MYOB Acumatica has PO matching built in. A subcontract order is claimed in stages, so one purchase order produces many bill documents. Each claim must be checked against the total already claimed and certified, not just against the order value.

## Why it matters for builders

- Variations arrive as separate claims. A claim that includes variation work with no approved variation order is the most common way a job goes over budget.
- Retention is held back on each claim. If the retention line is wrong, you pay out money you were meant to hold until practical completion.

## For builders in MYOB Acumatica

- Use the Subcontracts form (SC301000) from MYOB Acumatica Construction Edition for subcontractor work. On a bill, Add Subcontract Line lists the lines with Project Task and Cost Code columns.
- In MYOB Acumatica Construction a payment claim becomes a bill. Enter the claim's invoice number in Supplier Ref. then import the rows from the purchase order or subcontract. The Claimed Amount fills in for you.
- Tick Internal Cost Commitment Tracking in Projects Preferences (PM101000). Subcontracts and project purchase orders then show Original, Revised, Open and Invoiced committed amounts on the project cost budget.
- If you run the Procore integration, a subcontractor invoice will not import when its commitment line is closed. The Subcontractor Invoices Synchronization screen (PC201013) logs the error.
- A subcontract moves to Closed once every line is billed in full. Use Complete on an Open subcontract when no more claims are expected.
- Only Normal, Drop-Ship and Project Drop-Ship orders in Pending Printing, Pending Email or Open status, with a project and task on the line, count as commitments.

## What MYOB Acumatica does on its own

Bills can be built from purchase orders and receipts with a variance posted for price differences. It needs the Purchase Orders and Inventory modules.

Add PO Receipt lists released receipts not fully billed. Use Add Receipt Line to bill only some lines.

## Example

Example Concreting Pty Ltd holds a subcontract purchase order of $80,000 ex GST for slab works on project 214. Claims 1 and 2 already total $55,000 ex GST. Claim 3 arrives for $30,000 ex GST.

- Claim 3 slab pour, level 2: $30,000.00 (Claim brings the total to $85,000, which is $5,000 over the order)
- Retention held at 5%: -$1,500.00 (Matches the retention rate on the order, so this line is fine)

Claims to date now pass the order value by $5,000. The claim goes to the project manager to confirm a signed variation before it is approved.

## Common mistakes

- Matching each claim to the full order value instead of the balance left after earlier claims.
- Paying a variation line because the work was done on site, with no signed variation order behind it.

## Common questions

### Can MYOB Acumatica match a subcontractor's payment claim to the subcontract?

Yes, by importing the subcontract rows onto the bill. On Bills and Adjustments (AP301000) the claim's invoice number goes in Supplier Ref. and the Claimed Amount fills in from the subcontract. No tolerance check against the subcontract value was found, so review the Payment Schedule tab.

### What happens if the claim is more than the order?

Hold it until the project manager confirms a signed variation. Security of payment laws set short deadlines to respond to a claim, so raise the difference quickly and give written reasons if you pay less.

### Does MYOB Acumatica need Inventory for receipt matching?

Purchase Orders and Inventory modules are needed for receipts of stock. Bills are then built from receipts, and price differences post as a variance to an account.
