# Supplier price checks for IFS Cloud

IFS Cloud covers part of supplier price checks on its own. Pulsify checks every line against the purchase order or a price list you upload for each supplier.

A supplier price check compares the unit price on each bill line with the price you agreed, so overcharges are caught before you pay.

## What IFS Cloud does on its own

Price checks happen in PO matching. Matching compares the invoice line with the PO line on order number, part number, quantity and amount. Differences inside the tolerance create a posting line and can authorise the invoice. Agreed price lists outside the PO were not found.

- PO price only

## What you need in IFS Cloud

- Use Posting Proposal turned on
- Tolerance set on the Invoice/PO Matching tab

## Setting it up in IFS Cloud

Where to find it: Company > Invoice/PO Matching tab; Enterprise > Supplier > Invoice > General tab

1. On the Invoice/PO Matching tab of the Company page set the tolerance levels.
2. Choose Automatic Authorization.
3. On the supplier set the PO Matching Level.
4. Tick Always Create Tolerance Posting on the supplier to create the posting line even outside tolerance.
5. Match the invoice. Lines are marked by the result.

## Good to know in IFS Cloud

- Outside tolerance the difference posting must be added manually and the proposal needs manual authorization.
- A balancing posting line is added automatically when the gap is inside tolerance.
- IFS compares the net invoice amount with the PO total at header level.

## How to do it in IFS Cloud

### How to check supplier invoice lines against agreed supplier prices in IFS Cloud

Keep the agreed price list for each supplier outside IFS Cloud. Compare each supplier invoice unit price to the list and query any difference. Update the list when prices change. Full guide: https://www.pulsify.tech/how-to/check-bills-against-agreed-supplier-prices-in-ifs-cloud/

### How to set a price tolerance on purchase order matching in IFS Cloud

In IFS Cloud, set the tolerance levels on the Invoice/PO Matching tab of the Company page. A gap inside them is posted for you. For a gap outside them, add the difference posting by hand and name who can pass it. Full guide: https://www.pulsify.tech/how-to/set-a-price-tolerance-on-po-matching-in-ifs-cloud/

## What Pulsify adds

1. Upload the prices you agreed with a supplier as a CSV. One price list per supplier, up to 100,000 items.
2. Pulsify checks the unit price on every line of that supplier's bills against the list, by item code then exact description.
3. Lines priced differently or not on the list are flagged.
4. If a bill is matched to a purchase order, line prices are checked against the PO too.
5. The approver sees the flag and decides.

Pulsify connects to IFS Cloud. We set up the connection for you.

What Pulsify does not do:

- There is no tolerance. Any difference is flagged.
- Pulsify does not track rebates or price history.

## Common questions

### Does IFS check price against the PO?

Yes, at header or line level depending on the supplier's matching level.

### What happens outside tolerance?

The difference posting is added by hand and the proposal needs manual authorization.

### Does it check supplier price lists?

The IFS docs do not describe it. It checks against the PO price.

### How do I update a price list?

Upload the new CSV. It replaces the old list and open bills are checked again the next time they are opened.
