# Supplier price checks in NetSuite for manufacturers

NetSuite covers part of supplier price checks on its own. Raw material prices move with metal, resin and energy markets, so the purchase order price is often out of date when the invoice lands.

## Why it matters for manufacturers

- A cost per unit that is wrong by a few cents changes margin on every product that uses the material.
- Surcharges for steel, fuel and currency are added late and may not be in the supplier agreement.

## For manufacturers in NetSuite

- Use Transactions > Purchases > Enter Purchase Contracts for materials bought on agreed tiers. The Additional Pricing icon on an item line shows quantities ordered against each pricing tier. Effectivity Based On lets the contract apply by Order Date or by Expected Receipt Date.
- Tick Update Item Price on the contract so the vendor, price and currency are copied to the item's Vendors subtab. That price can fill a PO line when no contract is assigned or the contract has expired.
- For imported components, Transactions > Payables > Post Vendor Bill Variances (Advanced Receiving) posts price, quantity and exchange rate differences between the bill and the receipt to the variance accounts on the item.

## What NetSuite does on its own

NetSuite has no separate contract price check. The 3-way match workflow compares the bill with the PO and item receipt on amount and quantity, and a difference outside the tolerance becomes an exception for the supervisor.

- No separate contract price check.

The tolerance is on amount and quantity. The help does not describe a separate unit price tolerance field.

## Example

Example Resin Supplies sends an invoice for 4,000 kg of polypropylene. The purchase order price is $2.10 a kg. The invoice charges $2.28 a kg.

- Polypropylene, 4,000 kg at $2.28: $9,120.00 (Order price was $2.10, so the line is $720 over)
- Fuel surcharge: $85.00 (Not on the order)
- Pallet fee: $40.00 (Not on the order)

The check flags the price rise of $0.18 a kg and both surcharges. Purchasing confirms the new rate or disputes it before the bill goes to approval.

## Common mistakes

- Letting the purchase order price be edited to match the invoice, which erases the evidence of a price rise.
- Accepting surcharges because the amount is small, then finding they add up over a year.

## Common questions

### How do I keep component prices in line with a supply contract in NetSuite?

Enter a purchase contract with start and end dates and pricing tiers, then select it on the purchase order. Tick Update Item Price to keep the item's vendor price current. Bill price differences against the receipt show on the Post Vendor Bill Variances page when Advanced Receiving is on.

### How do manufacturers handle material price rises?

Compare invoice price to the purchase order price on every line. If the supplier agreed a rise, update the standard cost and the price list. If not, dispute the invoice before approval.

### Where do I set the amount tolerance?

On the item, vendor or subsidiary record. Blank fields on both vendor and subsidiary mean the criteria do not run.
