# Supplier price checks in SAP B1 for wholesalers

SAP B1 has no built-in supplier price checks. Wholesalers buy thousands of SKUs. A small unit price change on a high-volume line can cost more than a missed large bill.

## Why it matters for wholesalers

- Suppliers change price lists, run promotions and add surcharges. The price on the purchase order may be weeks old when the invoice lands.
- Rebates and settlement discounts sit outside the invoice, so the price you pay is not always the net cost you get.

## For wholesalers in SAP B1

- Business One has no price tolerance on matching, so a wholesaler with agreed supplier prices can hold them in a purchasing blanket agreement. The Items method takes a planned quantity, a date range and an optional unit price for each item.
- Choose the Specific type for a negotiated price. A valid Specific agreement links to purchasing documents automatically and its price overrides other pricing.
- The Blanket Agreement Fulfillment Report shows how far each supplier agreement has been used within a date range.
- A purchase blanket agreement can be copied to a Purchase Order or a Goods Receipt PO but not to an A/P invoice, because an A/P invoice opens without a default posting date and the agreement's validity cannot be checked. Raise the PO from the agreement so the agreed price carries through.
- Use the Monetary management method when the deal is a spend amount over a date range with an optional price list and discount, and the Items method when it is set quantities.

## What SAP B1 does on its own

Business One has no supplier price check or price tolerance. The nearest control is an approval template with a term on document total, which sends large documents to an approver. Prices are compared by eye when copying from the purchase order.

Business One has no price tolerance setting on matching.

## Example

Example Steel Supplies sends an invoice for 500 units of bracket B12. The agreed unit price on the purchase order is $4.20. The invoice charges $4.45.

- Bracket B12, 500 units at $4.45: $2,225.00 (Order price was $4.20, so the line is $125 over)
- Bolt pack BP7, 200 units at $1.10: $220.00 (Matches the agreed price)
- Surcharge, material cost: $90.00 (Not on the order or price list)

The check flags the B12 price difference of $0.25 a unit and the surcharge. The buyer confirms whether a new price list applies before the bill is approved.

## Common mistakes

- Approving a bill because the total looks close, without checking the unit price on each line.
- Updating the purchase order price to match the invoice without asking whether the supplier agreed to the change.

## What Pulsify adds

## Common questions

### Can Business One hold a supplier's agreed price for a wholesaler?

Yes, through a purchasing blanket agreement. The Items method holds a planned quantity, date range and unit price per item. A valid Specific agreement links to purchase documents on its own and its price overrides other prices. It is not a tolerance check on the bill.

### How closely should a wholesaler check supplier prices?

Check the unit price on every line, not just the bill total. A 2% rise on a $500,000 monthly spend line is $10,000 a month. Check the largest SKUs by spend most often.

### Does Business One flag an invoice price higher than the PO?

No. Business One has no price tolerance. You can build an approval template with a user query that checks your own rule.
