# Supplier statement reconciliation in NetSuite for freight and logistics companies

NetSuite has no built-in supplier statement reconciliation. Carriers and fuel suppliers send monthly statements that list many consignments or fuel purchases. They are the best check that nothing was missed.

## Why it matters for freight and logistics companies

- Statements often include accessorial charges such as detention or redelivery that were never on the consignment invoice.
- A statement that does not match your bills can hide both missing invoices and bills paid twice.

## For freight and logistics companies in NetSuite

- Oracle's help describes no supplier statement matching. Carriers send monthly statements that list many consignments, so run the A/P Aging report for the carrier and tick it off against the statement.
- Put the consignment or statement reference in the Memo field of the bill.

## What NetSuite does on its own

NetSuite has no supplier statement import or matching in the help. The A/P Aging reports show what NetSuite owes each vendor, and a person compares that to the supplier's statement by hand. The statement reconciliation Oracle describes is for bank accounts.

A user with access to Accounting Preferences chooses whether bills age by due date or transaction date.

## Example

Example Linehaul Pty Ltd sends a vendor statement listing 46 consignments for $38,900. Your ledger shows 44 consignments for $36,700.

- 44 consignments, in ledger: $36,700.00 (Matches)
- Consignment E-880, on statement only: $1,350.00 (Missing from ledger)
- Detention charge, on statement only: $850.00 (Not agreed on any consignment note)

The check lists the missing consignment and the detention charge. The first is entered after a proof of delivery check. The second is queried with the carrier.

## Common mistakes

- Paying the statement total without matching each consignment.
- Accepting detention or redelivery charges that were never authorised.

## Common questions

### Can NetSuite match a carrier's monthly statement to bills?

Oracle's help describes no statement matching. The usual route is the A/P Aging report for the carrier compared by hand with the statement. A reference kept in the Memo field of each bill helps you find the bill that a statement line refers to.

### How should a freight company use carrier statements?

Match each consignment on the statement to a bill or proof of delivery. Chase any line you cannot match and pay only what you agree. Do this monthly for each carrier.

### Why is a bill missing from my A/P Aging?

Check the Due Date. A bill with no Due Date does not appear on aging reports. Also check the posting period and the aging basis set in Accounting Preferences.
