The Procore Acumatica integration that handles your accounts payable end to end

Pulsify connects to your inbox, codes each invoice, reconciles each line to the purchase order including variations, checks the supplier is eligible to charge you GST and posts to both systems at once.

We're onboarding a new cohort of customers each month.

“Pulsify has made a huge difference to how we manage accounts payable in our construction business.”

Matthew Carollo, Director, NACS Constructions

Pulsify saves hours each week by auto-coding line items and flagging issues like duplicates, GST errors, and mismatches before bills hit the ledger.

Pulsify has given me the confidence I needed and has helped reclaim a significant amount of my time, which will be crucial as we continue to scale our operations.

Really love they extract payment data from the bills and reconcile them to my Xero database. Gives me peace of mind that my invoices are secure.

I need this for import and shipping costs which have all sorts of GST, non-GST, part GST requirements, so Pulsify solves the complications of finding this and breaking it down at the end of each quarter for the accountant. Having previously used Dext, getting this detail was an extra expense and assigning costs was much more work.

This is the 4th solution I have used for uploading receipts and it is much better than all the others. Being able to scroll, zoom and grab a receipt in the window and move it about for review is very user friendly. The interface is very clean and avoids all the noise that other solutions pack into a page.

I just wanted to say how impressed I am with the program's document reading capability. It even manages to split out a Coles receipt line by line with the correct GST application on each item!

How it works

01

Connect your inbox

Pulsify connects to your inbox and processes invoices, supplier statements and purchase orders as they arrive.

02

Connect Procore beside Acumatica

Commitments, variations, projects and vendors sync directly from Procore.

03

Your records arrive matched

Pulsify works out what each of those lines up with in Acumatica. Jobs match on how past bills were coded, then on the job code. Suppliers match on ABN. AI matches cost codes on the account past bills for that code landed on. Exact matches confirm in bulk.

04

Bills reconcile against the commitment line

Line-level PO reconciliation, against the commitment plus its approved variations. Each invoice line is checked against its own commitment line rather than invoice total against order total. A line cannot claim more than that line has left. Retention comes across from Procore's claim as its own line.

05

Bills with no commitment take the direct cost path

Plant hire, materials and consumables turn up with no purchase order behind them. Procore calls those direct costs. Pulsify codes the bill to the job and the account, then posts it to Procore as a direct cost instead of a claim.

06

Approve once, in Pulsify

Rejection happens here. Nothing you did not want ends up in Procore as a pending cost. If a record is still unmapped, approval is blocked and that record is named, which is what stops a zero-value bill posting quietly.

07

One approval, both systems

The claim goes to Procore and the bill goes to Acumatica with the PDF attached, at the same moment.

What mapping looks like

The first sync runs on connection and lands you here. Projects, sub jobs, cost codes and suppliers arrive already matched where Pulsify is sure, and the rest are named so you can decide.

Mapping

Procore to Acumatica, first sync

Projects 47 Cost codes 94 Suppliers 476

Riverstone PS Hall Not mapped - Needs you

44 exact matches across projects and sub jobs. 3 need a decision.

Confirm all exact matches

Procore's own connector switches sub jobs off on a connected project. Pulsify keeps them, reads each one under its project and codes every invoice line to the sub job it belongs to.

What a bill reconciles against

Invoice INV-40118

Sydney Tiling Co, against commitment CO-000142

Commitment total

$120,000.00

Claimed before

$61,250.00

This invoice

$24,500.00

Remaining

$34,250.00

Invoice line Commitment line Claimed Left on that line
Tiling supply - Level 3 bathrooms 1 Tiling supply $14,000.00 $17,000.00
Tiling labour - Level 3 bathrooms 2 Tiling labour $10,500.00 $17,250.00
Retention held at 5 percent, taken from Procore's claim -$1,225.00 to your retention account
Subtotal $24,500.00 GST $2,450.00 Retention -$1,225.00 Payable $25,725.00

Every figure here is the sum of the per-line balances, never the header total. That matters because an over-claim on one line and an under-claim on another net out to a healthy looking header while the job quietly goes over. Line 1 claims $14,000.00 against $31,000.00 left and passes. Had it claimed $35,000.00, approval would stop on that line and name it.

A bill with nothing committed behind it looks different. Two weeks of plant hire, $1,450.00, no purchase order anywhere. That takes the direct cost path, coded to Equipment Hire against the same job, then posts to Procore as a direct cost.

What a bill with no commitment looks like

Plant hire, materials and consumables arrive by email with no purchase order behind them. Every line is coded with the account and the GST treatment learned from how you coded that supplier before, then the checks run.

Invoice 88412

Site Plant Hire, no commitment behind it, so it takes the direct cost path

Invoice line Account in Acumatica GST Job Amount
Equipment hire, 2 weeks 61400 Equipment Hire GST 21LOFT-BALC $1,450.00
Delivery and pickup 61400 Equipment Hire GST 21LOFT-BALC $180.00
Damage waiver 61450 Plant Insurance GSTFREE 21LOFT-BALC $96.00
Subtotal $1,726.00 GST $163.00 Total $1,889.00

Checks run before this reaches the approver

  • Duplicate. No earlier bill with this number
  • Bank details. BSB changed since the last invoice from this supplier
  • ABN. Valid and registered to charge GST
  • Totals. Lines add up to the invoice total
  • Billed to. Your entity, not another customer

A flag goes to the approver with the bill. It does not stop the bill and Pulsify never moves money.

What lands in both systems

One approval in Pulsify. The cost goes to Procore and the bill goes to Acumatica with the PDF attached, at the same moment.

Frequently asked questions

Yes. Procore's ERP Integrations includes an Acumatica Cloud ERP connector. MYOB Acumatica Construction runs on the same platform. It carries projects, cost codes, commitments and subcontractor claims. It never opens a supplier invoice. Pulsify reads the invoice, codes it and posts the bill to Acumatica with the cost against the Procore commitment.

Same platform. MYOB sells it in Australia and New Zealand with construction and payroll layers added on top. Procore lists Acumatica Cloud ERP and MYOB Acumatica Construction as two separate connectors. Pulsify treats them as one ledger. The invoice is read, coded and posted the same way into either.

MYOB's enterprise construction ERP, sold until recently as MYOB Advanced Construction. Procore documentation still uses the older name in places. It is a different product from MYOB Business and MYOB AccountRight, which most small and mid-sized Australian builders run. If you are on one of those, the Procore MYOB integration is the page for you.

Connect Acumatica first, then Procore under Job Software in Pulsify's integrations. The first sync runs on connection and lands you in mapping. Projects, cost codes and suppliers arrive as suggested matches built from your job codes, supplier ABNs and how past bills were coded. Exact matches confirm in one click.

Only subcontractor invoices already entered in Procore against a commitment. Supplier invoices for materials, plant hire and consumables arrive by email and never enter Procore on their own. Pulsify reads those from your inbox, codes every line, posts the bill to Acumatica and the direct cost to Procore in the same approval.

Pulsify reconciles each invoice line against the commitment plus its approved variations, shown as one revised total. A line that bills a variation Procore has not yet approved is flagged for the approver rather than blocked. Procore stays in charge of approving the variation itself. Nothing is created or changed on it from our side.

Procore holds retention on the claim. Pulsify carries that amount across as its own line on the bill, coded to the retention account you map once at setup. Pulsify never recalculates it. The Acumatica bill shows totals after retention, the amount you actually pay.
