An aged payables report lists what you owe each supplier, grouped by how overdue each bill is. What is accounts payable?

The Sage 100 Contractor way

Where to find it: 4-1 Payable Reports > 4-1-3 Payable Aging

  1. Open 4-1 Payable Reports and choose 4-1-3 Payable Aging.
  2. Set the as-of date and print.
  3. Report 4-1-3 offers a radio button to sort by Vendor/Job. Community users report that you can filter by job, and that changing the Between filter next to Job to = Zero shows only invoices with no job (overhead).
  4. Use the Status filter if you want open invoices only. This matters when you pull other payable reports from 4-1-2.

Limits in Sage 100 Contractor

  • Retention is not included in the aging.
  • The aging leaves out retention on purpose. Posting a payable invoice expenses the whole gross amount, but the retained part is not paid out yet, so the program does not include retention in the invoice aging.
  • Sage 100 Contractor users report one of the 4-1-2 reports does not let you select the period, so it needs a modified report to add the period as a criterion.

Good to know in Sage 100 Contractor

  • To pay retention you do not create a new invoice. You release it on each invoice individually or for the whole subcontract at once, and the release then shows as a payable.
  • Community users also suggest 4-1-3 sorted by Vendor/Job to compare against a Job Period Aging report from job cost.

Common mistakes

  • Forgetting to set the as-of date for a past month end.
  • Adding retention by hand when it is excluded by design.
