The best OCR software for accounts payable is the one that reads your supplier invoices accurately enough that nobody retypes them and posts clean data into the ledger you already use. For most Australian businesses that ledger is Xero or MYOB. That narrows the field a lot.
The bigger split is what happens after the invoice is read. Some tools capture the header (supplier, date, GST and total) and attach the document to a bill. Others read every line item. A third group reads the invoice and then checks it and sends it for approval before it reaches the ledger. Which group you need depends on your invoices, not the tool’s marketing.
We compared seven tools sold in Australia on extraction depth, line items, Xero and MYOB fit, checks and approvals and how they charge. Prices are from each vendor’s Australian pricing page as of September 2026. We make Pulsify, which is on the list. We’ve kept every description to what each vendor publishes.
What OCR does in accounts payable
OCR (optical character recognition) is software that turns the text in a scanned or PDF invoice into data a system can use. In accounts payable, OCR for invoice processing pulls out the supplier, ABN, invoice number, dates, GST, totals and sometimes each line so a bill can be created without typing.
Older OCR needed a template for each supplier’s layout. Most tools sold in Australia now use AI extraction instead, which reads a new layout without setup and gets better as it sees more invoices from the same supplier. Line items are where tools differ most. Invoice capture of the header is enough for a service business paying one account per bill. A wholesaler or builder whose invoices carry 30 lines across different accounts, jobs and GST treatments needs every line read.
The stakes are in the exceptions. Ardent Partners’ 2026 benchmark puts the average invoice exception rate at 19.9%, against 11.8% for the best-performing teams. It puts the average cost to process one invoice at US$9.90, against US$2.67 for the best teams. The same report found 58% of AP organisations using or piloting AI.
The best OCR software for accounts payable in 2026
Seven tools made the list. Each is sold in Australia and posts to Xero. Four of them post to MYOB as well.
Pulsify
Pulsify is accounts payable software for Australian businesses on Xero and MYOB, built for invoices with a lot of lines. You forward documents to a Pulsify address and it works out whether each is an invoice, a PO, a credit note or a supplier statement. It reads every line, then codes account and GST per line from that supplier’s history. Pulsify puts its extraction accuracy at 99%.
After reading, it checks the invoice. It flags duplicates, changed bank details, ABNs that are invalid or not GST registered and totals that don’t add up. It also runs two-way PO matching. Bills go for approval by supplier and amount, then are created in Xero or MYOB. Plans start at $69 a month (AUD, ex GST) for 100 documents, with line-item extraction included and $1 per extra document, as of September 2026.
Verdict: suits businesses with line-heavy invoices that want capture, coding and checks in one tool.
Dext
Dext is a capture tool used widely by Australian bookkeepers and practices. You snap, upload or email receipts and invoices. Dext extracts the data and syncs it to your accounting software. The business plan starts at $33.58 a month ex GST billed annually ($403 a year) for 250 documents and five users, as of September 2026.
Line-item extraction is an add-on from $28.50 a month or $0.70 a document pay as you go, with five line-item documents included. Supplier statement and bank statement extraction are add-ons too.
Verdict: a strong capture tool at a low base price, best where most bills need header data only.
Xero Smart Document capture
Xero’s own Smart Document capture is included in every Xero plan at no extra cost. You forward a bill to your Xero email or snap it in the app. Xero reads it in under 30 seconds, prepopulates the record and cross-references it with your bank records to suggest a match. It also warns when the same document is uploaded twice.
Xero’s product blog from 2 July 2026 lists multi-line itemised extraction for documents like rental statements and itemised receipts. It says the feature was rolling out in beta for Australia and New Zealand, with GST extraction listed as coming next.
Verdict: the free starting point for simple Xero files. It works inside Xero only.
Lightyear
Lightyear is AP and purchasing software that connects to Xero and MYOB. Line-item extraction is on by default, along with purchase orders, approval workflows and supplier statement reconciliation. The Essentials plan is $155 a month for 125 credits and Standard is $255 a month for 250 credits, adding goods received notes and three-way PO matching, as of September 2026.
Verdict: a good fit for purchasing-led businesses that raise POs and receive goods against them.
EzzyBills
EzzyBills captures bills and receipts, extracts line items and codes them, with approval workflows and job costing links. It connects to Xero, MYOB and QuickBooks. It sells annual plans: Light at A$132 a year for up to 450 documents, Standard at A$297 for up to 1,200 and Premium at A$605 for up to 2,500, as of September 2026.
Verdict: the lowest-cost way on this list to get line items into Xero or MYOB for a single company.
AutoEntry
AutoEntry is a Sage-owned capture tool that reads invoices, receipts, supplier statements and bank statements. Pricing is by credits: one credit for an invoice, two for an invoice with line items and three per bank statement page. Unused credits carry over for up to 90 days and every plan includes unlimited users. PO matching is listed for QuickBooks and Xero.
Verdict: flexible for practices with uneven monthly volumes, as long as you budget for line items at two credits each.
Datamolino
Datamolino is an extraction tool that lets you choose totals only or full line items and includes invoice approvals on every plan. Business plans cover one company with unlimited users. It connects to Xero and QuickBooks.
Verdict: a straightforward line-item tool for Xero businesses that want approvals included.
A note on enterprise OCR
Search results for this term are full of enterprise platforms. ABBYY’s Vantage invoice processing skill reads invoices from more than 35 countries and passes header, footer and line data to ERP systems. Esker’s AP automation holds certified integration with SAP S/4HANA. Both are aimed at larger organisations connecting to ERP systems. For a business on Xero or MYOB, the tools above connect directly.

Where each tool fits
The best OCR software for accounts payable depends on your invoices more than your size. For a small Xero business with simple bills, start with Xero’s own capture. It costs nothing extra and may be all you need.
A practice processing receipts and invoices for many clients will usually look at Dext or AutoEntry first. Both are built around capture across many client files. Watch the line-item costs if any clients have product-heavy invoices.
If you’re on MYOB, the list shortens to Pulsify, Dext, Lightyear and EzzyBills, since Xero’s capture only works in Xero and Datamolino doesn’t list MYOB. Check AutoEntry’s current integration list before you trial it.
A single business that needs line items at a low price should compare EzzyBills and Datamolino. If you raise POs and receive goods against them, Lightyear’s purchasing features are worth a look.

What to look for in OCR software for accounts payable
Test on your own invoices, not a demo set. The best OCR software for accounts payable on a clean sample can struggle with your hardest supplier’s layout.
A fair trial takes an afternoon. Pull 20 invoices from last month, weighted towards your messiest suppliers: the builder’s merchant with 40 lines, the freight company with fuel levies, the supplier who sends three invoices in one PDF. Run the same 20 through each tool you’re considering and count how many came out right with no edits. Then count how many lines you had to recode. The tool that wins on your worst 20 will usually win on the rest.
Check these before you commit:
- whether line items are included or charged extra and what that does to your monthly cost
- a direct connection to your ledger, Xero or MYOB, without middleware
- coding from supplier history so the same supplier lands on the same accounts each time
- checks after capture: duplicates, changed bank details and ABN status
- how many invoices go through with no one touching them
That last one is the number to track. Ardent Partners’ 2025 report put touchless processing at an average of 32.6% of invoices.
