An aged payables report lists what you owe each supplier, grouped by how overdue each bill is. What is accounts payable?
The CloudSuite Industrial way
Where to find it: A/P Aging Report
- Set aging day ranges in the Accounts Payable Parameters form
- Run the A/P Aging Report
- Choose to age by invoice date or due date
- In Accounts Payable Parameters set the default day ranges and titles. Negative numbers mean days until due and positive numbers mean days past due.
- Run the A/P Aging Report and pick whether it is based on invoice date, due date or discount date.
- Compare the aging total with the vouchers payable balance in the General Ledger before you send the report to anyone.
Limits in CloudSuite Industrial
- The Financials guide describes the aging parameters but not the report layout, so check a printed copy at your site before relying on its columns.
Good to know in CloudSuite Industrial
- Default day ranges and titles come from aging parameters
- Because negative ranges are allowed, one report can show what falls due in the coming weeks as well as what is overdue.
- Purchasing has a payment hold feature that lets you place a vendor on payment hold if their goods or services are unacceptable.
- Posted payments and vouchers can be viewed on the A/P Posted Transactions Detail form to explain a balance.
- When you generate automatic payments the form has an Aging Basis choice of Invoice, Due Date or Disc Date, so the aging you read and the payments you select can use the same basis.
Words CloudSuite Industrial uses
- Voucher. The record of a vendor invoice you owe. It is created in A/P Vouchers and Adjustments or generated from a PO receipt.
Common mistakes
- Running the report before setting the aging day ranges.
- Comparing two runs where one aged by invoice date and the other by due date.
