Short answer
- Create the job in MYOB. Use a detail job, not a header job.
- Enter the supplier bill.
- Choose the job on each line. One line, one job.
- Save, then run a job report to see cost by job.
Before you start
You need:
- A job for each site or project, already set up in MYOB
- The supplier bill with its lines
- A plan for shared costs, such as delivery or a skip bin, that you want to split across jobs
MYOB help says only detail jobs can take transactions. Header jobs total the detail jobs below them. Source: MYOB AccountRight help, Jobs.
The manual way in MYOB
- Create the job. Add the job in your MYOB file. Use a detail job for each site.
- Open a new bill. In MYOB Business choose Create > Bill. In AccountRight (browser or desktop) open the Purchases command centre and click Enter Purchases. Set the purchase type to bill.
- Enter the header. Pick the supplier. Add the date and the supplier’s invoice number.
- Set the layout. In MYOB Business click Field layout and choose Services if the bill is for services or Items if it is for stock.
- Add the lines. For a service line, enter a description, choose a category or account, enter the amount and check the tax code.
- Pick the job. Choose the job on the line. MYOB help says to select a job number to assign a line to a specific job. You can optionally track the cost for billing back to a customer if the job has reimbursables turned on.
- Split shared lines. MYOB takes one job per line. If a line covers more than one job, enter a separate line for each. Source: MYOB AccountRight help, Entering bills.
- Save the bill.
Limits to know:
- A job on the top line does not carry down. Pick the job on every line.
- Stock items tracked in MYOB cannot be reimbursed to a customer.
- To see cost by job, run the Job Profit & Loss Statement or the Job Transactions report.
The Pulsify way
- Forward the supplier invoice to your Pulsify address.
- Pulsify reads each line and codes the account and GST per line. It learns from how that supplier’s past bills were coded.
- Your MYOB jobs sync into Pulsify. Set the job on each line in the review screen.
- If your approval rules depend on the job, route the bill to the right person or team.
- Approve the bill. It is created in MYOB with the source file attached.
You still check the job on each line. Pulsify does not guess which site a delivery was for.
Worked example
Example Plumbing Supplies sends one invoice for $1,650 including GST. The lines are:
| Line | Amount ex GST | Job |
|---|---|---|
| Copper pipe | $800 | 2210 Smith St |
| Fittings | $450 | 2214 Jones Rd |
| Tapware | $250 | 2210 Smith St |
GST is $150 and the bill total is $1,650. Job 2210 gets $1,050 of cost and job 2214 gets $450. The job report matches the bill.
Common mistakes
- Job only on the first line. The rest fall into no job. Check every line.
- Picking a header job. MYOB will not take it. Pick the detail job underneath.
- Splitting by gut feel. Delivery fees often end up on one job. Split them by the same ratio as the goods, or by a rule you write down.
Next step
Try an invoice and set the job per line before it reaches MYOB. See the approval workflows guide to route bills by job. Building firms can also use the retention schedule calculator.
Common questions
Can one bill line go to two jobs in MYOB?
No. MYOB takes one job per line. If a line is shared between two jobs, enter it as two lines and split the amount. Do this before you save the bill so the job reports show the right cost.
Why is the job column empty on my lines?
Jobs only show if you have set up jobs in MYOB. You also need to be on a bill layout that shows the job field. In AccountRight, check you are on the service layout. Header jobs cannot be picked.
Does job costing change my GST?
No. The job is a tag on the line. GST still comes from the tax code on that line. Check the tax code on every line before you save.
