Invoice capture means getting supplier invoices out of email and paper and into your system as data, without typing them in.
What Dynamics 365 Finance does on its own
Invoice capture on Power Platform reads invoice images from a mailbox and creates invoices.
- Needs extra licences and storage
What you need in Dynamics 365 Finance
- Invoice capture solution on Power Platform
- Power Apps or Finance licence
- Azure Data Lake storage (often not needed if the 20 GB Dataverse file capacity is enough)
Setting it up in Dynamics 365 Finance
Where to find it: Accounts payable > Invoices > Pending vendor invoices
- Create an invoice capture channel that watches a Microsoft Outlook 365 shared mailbox folder.
- Invoices arrive as received files.
- The solution reads them and shows the invoices for a clerk to review.
- Fix any errors on the review screen.
- Send the checked invoice to Finance, where it lands as a pending vendor invoice.
Good to know in Dynamics 365 Finance
- Invoice capture is an extra Power Platform solution and is not part of Finance itself.
- Subfolders in the mailbox are not supported. Each tenant gets 100 invoice capture transactions a month.
- Touchless processing is possible when there are no review errors.

What Pulsify adds
- Each company gets its own Pulsify forwarding address. Suppliers send invoices there, or you forward or upload them.
- Pulsify works out what each file is (invoice, credit note, supplier statement or purchase order) and splits a PDF that holds several invoices.
- It unwraps ZIP files and converts Word, Excel, CSV and phone photos.
- Each invoice is read into header fields and line items for review.
- On approval Pulsify creates the vendor invoice in Dynamics 365 Finance with the source file attached.
Pulsify connects to Dynamics 365 Finance. We set up the connection for you. More about invoice capture in Pulsify.
What Pulsify does not do
- Files over 25 MB are not accepted.
- Pulsify is a web app that installs to a home screen. It is not in the app stores.

Common questions
Does Dynamics 365 Finance read PDF invoices on its own?
Not in the Finance application itself. Microsoft's Invoice capture solution on Power Platform does it. It watches a shared mailbox and needs extra licences and storage. Without it, invoices are keyed or imported.
Can I import invoices in bulk instead?
Yes. Data management has vendor invoice header, line and attachment entities. Import a data package, then fix failures at Accounts payable > Invoices > Import failures.
Do suppliers need to change anything?
No. They keep sending PDFs by email. You give them your Pulsify address or forward invoices to it yourself.
