KINETIC

Invoice capture for Kinetic

Short answer

Kinetic needs an add-on for invoice capture. Pulsify gives each company its own email address, reads every invoice line by line and creates the AP invoice in Kinetic.

Invoice capture means getting supplier invoices out of email and paper and into your system as data, without typing them in.

What Kinetic does on its own

Kinetic has no built in invoice capture. Invoices are keyed in AP Invoice Entry. Epicor ECM AP Automation and Epicor Intelligent Data Capture are separate products. With ECM, invoices are captured from scanners, copiers or an email inbox and post to Kinetic.

What you need in Kinetic

  • Epicor ECM AP Automation or Intelligent Data Capture for email in and extraction
  • Data Management Tool (DMT) licence for file loads

Setting it up in Kinetic

Where to find it: Financial Management > Accounts Payable > General Operations > AP Invoice Entry; ECM AP Automation is a separate product

  1. Open AP Invoice Entry and start a new invoice in a Group.
  2. Pick the supplier and enter the invoice number, date and amount.
  3. Enter the lines, or pull PO receipts with Get > Get Not Invoiced Receipts.
  4. Post the group.
  5. For bulk loads, build a file for the DMT APInvoiceCombined template, load it and then post the group in AP Invoice Entry.

Good to know in Kinetic

  • Column order matters in the DMT file. A wrong order can give an APInvHed record not found error.
  • BPMs on invoice entry may not run for imported invoices.
  • Check the DMT file layout against your Kinetic version.

How to do it in Kinetic

How to get AP invoice records in by email to Kinetic

Set up one address for AP invoice records. Ask each supplier to send invoices there. Read and enter each one into Kinetic, with the original file attached.

How to enter a supplier invoice with line items in Kinetic

In Kinetic, open a new AP invoice, pick the supplier, add one line per invoice row with an GL account and tax rate or tax type, then check the total matches the invoice.

How to import AP invoice records from a CSV into Kinetic

Kinetic loads AP invoices from a file through the Data Management Tool (DMT), which needs its own licence. Build the header and line columns in the order DMT expects, load the file, then post the group.

What Pulsify adds

  1. Each company gets its own Pulsify forwarding address. Suppliers send invoices there, or you forward or upload them.
  2. Pulsify works out what each file is (invoice, credit note, supplier statement or purchase order) and splits a PDF that holds several invoices.
  3. It unwraps ZIP files and converts Word, Excel, CSV and phone photos.
  4. Each invoice is read into header fields and line items for review.
  5. On approval Pulsify creates the AP invoice in Kinetic with the source file attached.

Pulsify connects to Kinetic. We set up the connection for you. More about invoice capture in Pulsify.

What Pulsify does not do

  • Files over 25 MB are not accepted.
  • Pulsify is a web app that installs to a home screen. It is not in the app stores.

Common questions

Does Kinetic read invoices from email or PDF by itself?

No. Invoices are keyed in AP Invoice Entry. ECM AP Automation and Intelligent Data Capture are separate Epicor products for that.

Can I import AP invoices from a file?

Yes, with the Data Management Tool and its APInvoiceCombined template, then post the group in AP Invoice Entry. It needs a DMT licence.

What is a Group in AP Invoice Entry?

Invoices are entered in a Group that you post together. Standard invoices cannot share a group with GRNI clearing invoices.

Do suppliers need to change anything?

No. They keep sending PDFs by email. You give them your Pulsify address or forward invoices to it yourself.
