HOW-TO

How to check GST coding on AP invoice records in Kinetic before you lodge your BAS

Short answer

In Kinetic, run the GST report by tax rate or tax type for the period. Review large bills, new suppliers and freight, fix wrong tax rate or tax type entries and check you hold a tax invoice for each credit.

Before you start

The Kinetic way

Where to find it: Tax Box Report

  1. Run the Tax Box Report and compare to AP invoices
  2. Run the Tax Reconciliation Report from Financial Management > Accounts Payable > Reports > Tax Reconciliation. Choose the Extended - SSRS style to see liability, tax type, tax code and percentage for each posting.
  3. Run the Print Tax Box Report command in the VAT Tax report. Add the custom fields Transaction Type, Legal Number, Document Number and Document Reference to see where each amount came from.
  4. If a tax box amount needs a manual fix, use Tax Box Entry (Tax Box Summary Maintenance) and enter a Change Reason.

Limits in Kinetic

  • Epicor describes the Tax Reconciliation Report as an aid for tax audits. It lists postings; it does not tell you which code is wrong.

Good to know in Kinetic

  • Each manual change in Tax Box Summary Maintenance is logged with the user name, date and time, previous amount and change reason.
  • On a purchase order, the Taxable check box, tax liability and tax category decide the tax. Tax inclusive pricing is also available on purchase invoices.
  • The Australia country specific functionality loads local report formats and supports GST and BAS reporting, plus EFT BPAY. The figures here come from Epicor ERP 10.1.500 notes, so check your Kinetic version.

Words Kinetic uses

  • Tax Box. A reporting box that tax amounts roll into, used for the Tax Box Report.

The Pulsify way

  1. Forward bills to Pulsify through the period.
  2. Pulsify sets a GST code on each line from the rate printed on that line.
  3. Pulsify flags a supplier ABN that is not registered for GST when GST is charged.
  4. Review flags before approval, so fewer errors reach Kinetic.

What Pulsify does not do here

  • Pulsify does not lodge or prepare your BAS.
  • It does not check bills already in Kinetic.

Common mistakes

  • Running the Tax Box Report without the Australia CSF set up.
  • Not comparing the report to the AP invoices.
