HOW-TO

How to stop paying a supplier invoice twice in Kinetic

Short answer

Before you enter an AP invoice in Kinetic, search the supplier's bills for the same number or amount. Use one reference format and check the payment group for repeats.

Last checked

Duplicate payment is when the same supplier invoice is entered or paid more than once. It often happens when an invoice arrives by two routes.

The Kinetic way

Where to find it: AP Invoice Entry; Payment Entry; invoice and supplier Hold Payments flag

  1. Kinetic does not allow a second invoice with the same number for the same supplier
  2. A leading zero or other added character defeats the exact match, so check for near matches
  3. A BPM on PrePostGroupInvoices can compare trimmed invoice numbers and set the invoice on hold
  4. Tick Hold Payment or Hold Invoice to stop a bill being paid

Limits in Kinetic

  • Match is on the exact invoice number, so a suffix or leading zero defeats it

Words Kinetic uses

  • Group. A batch of invoices posted together. Standard invoices cannot share a group with GRNI clearing invoices.
  • BPM. Business process management. Custom rules that run on events such as saving an invoice.

The Pulsify way

  1. Forward the supplier's invoice to Pulsify.
  2. Pulsify compares the invoice number with punctuation and case ignored, plus the same supplier, invoice date or tax ID.
  3. It checks other Pulsify documents and active bills in Kinetic.
  4. A possible duplicate is flagged. Open the match, then reject or approve anyway.

What Pulsify does not do here

  • Pulsify flags. You decide.
  • A duplicate with a quite different invoice number may not be found.

Common mistakes

  • Relying on the exact number rule when a suffix or leading zero defeats it.
  • Paying from Payment Entry without checking for repeated invoices.
