Duplicate payment is when the same supplier invoice is entered or paid more than once. It often happens when an invoice arrives by two routes.
The IFS Cloud way
Where to find it: Supplier invoice save check
- IFS checks the invoice number across the companies where the supplier is registered when you save an invoice template, and shows a message for a duplicate
- A duplicate number on the same supplier can also be rejected at entry, unless the company unique supplier invoice setting is relaxed
Limits in IFS Cloud
- The company level unique supplier invoice setting can be changed to Supplier and Invoice Series, which lets a repeated number through under a new series
The Pulsify way
- Forward the supplier's invoice to Pulsify.
- Pulsify compares the invoice number with punctuation and case ignored, plus the same supplier, invoice date or tax ID.
- It checks other Pulsify documents and active bills in IFS Cloud.
- A possible duplicate is flagged. Open the match, then reject or approve anyway.
Pulsify connects to IFS Cloud. We set up the connection for you.
What Pulsify does not do here
- Pulsify flags. You decide.
- A duplicate with a quite different invoice number may not be found.
Common mistakes
- Relaxing the uniqueness setting without another duplicate check in place.
- Treating the template check as proof that every route in is covered.
