HOW-TO

How to apply a credit note to a supplier invoice in IFS Cloud

Short answer

In IFS Cloud, enter the credit note for the supplier, then allocate it to the supplier invoice it credits. Pay the balance that is left.

Last checked

Applying a supplier credit note means recording the credit and allocating it against the bill it reduces, so you pay only the balance.

The IFS Cloud way

Where to find it: Manual Supplier Invoice (credit)

  1. Return the goods in Purchasing with return type credit or rework
  2. Enter the supplier credit note in Manual Supplier Invoice
  3. Use Match PO Receipts so the returned quantity matches the credit note

Limits in IFS Cloud

  • Credit and rework return types only work for stored purchase parts. Other parts are posted manually
  • Scrapped quantity can be handled at matching when no credit note comes

Words IFS Cloud uses

  • Manual Supplier Invoice. The page used to key a supplier invoice with cost postings.

The Pulsify way

  1. Forward the supplier's credit note to your Pulsify address. Pulsify recognises it as a credit note.
  2. Pulsify flags a credit note with a missing or unknown original invoice, or an original smaller than the credit.
  3. Choose the original bill and approve.
  4. Pulsify creates the credit note in IFS Cloud against the original bill.

What Pulsify does not do here

  • Pulsify does not handle partial allocation across several bills.
  • Credit note handling is limited to the cases listed above.

Common mistakes

  • Using a credit or rework return for a part that is not a stored purchase part.
  • Skipping Match PO Receipts, so the returned quantity does not match the credit note.
