Closing the month in AP means making sure every bill for the month is entered, approved and coded and the payables balance ties out.
The IFS Cloud way
Where to find it: Voucher update and period close
- Update vouchers to the General Ledger
- Fetch Tax Ledger info
- Close the period
- Enter and finally post every supplier invoice for the month. An invoice counts as finally posted when its Balance field reaches zero.
- If an unpaid invoice is wrong, cancel it and enter it again. Cancelling creates a voucher that reverses the earlier postings and shows you the voucher number.
- Check any loaded external invoices. Each batch carries a load identity and the whole batch must be checked and transferred to the supplier ledger before it counts.
- Update the vouchers to the General Ledger, then run Fetch Tax Ledger Info. IFS says to fetch after each GL update before you report tax for the period.
Limits in IFS Cloud
- An invoice can only be cancelled while it is unpaid.
- Amount, invoice number and supplier cannot be edited after posting. Payment terms and authorizer can always be changed.
Good to know in IFS Cloud
- Each supplier invoice voucher waits in a hold table in IFS/Accounting Rules until it is updated to the General Ledger. View Vouchers on the Manual Supplier Invoice page shows it.
- A direct entry creates a voucher in function group I. Adding final postings to a preliminary invoice creates one in group J, which reverses the preliminary cost.
- On the payment tax method the tax for posting type IP3 sits on a preliminary account and moves to the definitive account when the invoice is paid, so unpaid invoices at month end affect where the tax shows.
- In 23R2 the standard version did not load external invoices. The 26R1 guide describes an external file assistant for text files.
The Pulsify way
- Clear the Pulsify queue: approve, reject or archive each bill waiting.
- Forward missing bills from suppliers to your Pulsify address.
- Reconcile key supplier statements in Pulsify.
- Then run reports and lock the period in IFS Cloud.
Pulsify connects to IFS Cloud. We set up the connection for you.
What Pulsify does not do here
- Pulsify does not post accruals.
- Aged payables and period locks are in IFS Cloud.
Common mistakes
- Closing the period before updating vouchers to the General Ledger.
