HOW-TO

How to match a supplier invoice to a purchase order in IFS Cloud

Short answer

In IFS Cloud, open the purchase order, compare each supplier invoice line to the purchase order line on quantity and unit price and query any difference before you approve.

Last checked

Matching a bill to a purchase order means checking the invoice lines against what was ordered (and sometimes received) before you pay. What is purchase order?

Before you start

  • Procurement module installed
  • Goods received

The IFS Cloud way

Where to find it: Supplier Invoice > Match Supplier Invoice with Purchase Order

  1. Enter the invoice in Arrival Entry
  2. Open the match step and pick PO receipt lines
  3. The final cost postings are created from the posting instructions on each PO line
  4. Authorise and post

Limits in IFS Cloud

  • Goods must be received first
  • Needs Purchasing installed

Good to know in IFS Cloud

  • Multicompany matching lets one company pay while lines belong to others

Words IFS Cloud uses

  • Arrival Entry. The first quick entry of a supplier invoice when it arrives, before full coding.

The Pulsify way

  1. Sync your open POs from IFS Cloud to Pulsify.
  2. Forward the supplier's invoice. Pulsify links it to the right purchase order.
  3. Pulsify matches each line on quantity and unit price, to within 1 cent.
  4. Review flags for price differences, extra quantity and lines not on the PO.
  5. Approve. The supplier invoice is created in IFS Cloud against the purchase order.

Pulsify connects to IFS Cloud. We set up the connection for you.

What Pulsify does not do here

  • Pulsify has no tolerance setting. It compares to the cent.
  • Flags are warnings. Your approver decides.

Common mistakes

  • Starting the match before the goods are received.
  • Expecting posting lines to come from the invoice rather than the posting instructions on the PO line.
