Short answer

Last checked

Matching a bill to a purchase order means checking the invoice lines against what was ordered (and sometimes received) before you pay. What is purchase order?

Before you start

  • Purchase order and receipt (GRN) recorded

The CloudSuite Industrial way

Where to find it: Generate A/P Transactions

  1. Open Generate A/P Transactions and pick the Vendor and Voucher option
  2. On Additional Material Selection tick Generate from PO or Generate from GRN and choose the range
  3. Click Select Matching to list receipts on the Material tab
  4. Delete lines not on the invoice and edit To Vch/Adj quantity and unit cost
  5. Check totals and click Generate

Limits in CloudSuite Industrial

  • Matching is by receipt. Goods not yet received have nothing to match unless a Pre-Register is used
  • Quantity and cost matching are on one form, not a separate invoice-vs-PO screen

Good to know in CloudSuite Industrial

  • If total distributed PO cost does not equal vouchered lines, the system gives an error

Words CloudSuite Industrial uses

  • Voucher. The record of a vendor invoice you owe. It is created in A/P Vouchers and Adjustments or generated from a PO receipt.
  • GRN. Goods receiving note. The receipt record for goods that arrived against a purchase order.

The Pulsify way

  1. Sync your open POs from CloudSuite Industrial to Pulsify.
  2. Forward the supplier's invoice. Pulsify links it to the right purchase order.
  3. Pulsify matches each line on quantity and unit price, to within 1 cent.
  4. Review flags for price differences, extra quantity and lines not on the PO.
  5. Approve. The voucher is created in CloudSuite Industrial against the purchase order.

What Pulsify does not do here

  • Pulsify has no tolerance setting. It compares to the cent.
  • Flags are warnings. Your approver decides.

Common mistakes

  • Leaving lines on the Material tab that are not on the invoice.
  • Not editing To Vch/Adj quantity and unit cost to match the invoice.
