HOW-TO

How to check GST coding on purchase invoice records in Sage X3 before you lodge your BAS

Short answer

In Sage X3, run the GST report by tax rule and tax rate for the period. Review large bills, new suppliers and freight, fix wrong tax rule and tax rate entries and check you hold a tax invoice for each credit.

A pre-BAS GST check means reviewing bills for wrong tax codes, missing tax invoices and suppliers not registered for GST before you claim credits.

Before you start

  • Sage X3 Financials
  • Australian legislation with the KAU activity code and the AUSVAT parameter set to Yes
  • A GST group whose member companies each have an ABN
  • VAT boxes (GESVTB) set up

The Sage X3 way

Where to find it: Declarations > Tax management > Australia > GST reporting periods

  1. Set up the VAT boxes function to link tax codes to BAS labels.
  2. Create a GST group in GST groupings. Even one company needs a group. Name one member as the head entity.
  3. In GST reporting periods create a period for the group. It must match the group's monthly or quarterly frequency.
  4. Select Update GST data. If VAT box settings are missing, X3 writes a log file instead.
  5. Run the GST report for one company to review it, then for the group to prepare the data for the ATO. Print the GST calculation worksheet.
  6. Enter extra BAS values such as PAYG by hand, enter the Date lodged and close the period.

Limits in Sage X3

  • The older GST report (GESGST) is no longer active and the AUSGST report cannot be used for BAS reporting.
  • The GST report archive (GESGSTA) only holds legacy data.
  • Once you close a period you cannot change its data.
  • X3 prepares the data. You lodge with the ATO yourself.

Good to know in Sage X3

  • Periods are created for GST groups, not single companies.
  • The reporting frequency is set on the group and cannot change once periods exist.

The Pulsify way

  1. Forward bills to Pulsify through the period.
  2. Pulsify sets a GST code on each line from the rate printed on that line.
  3. Pulsify flags a supplier ABN that is not registered for GST when GST is charged.
  4. Review flags before approval, so fewer errors reach Sage X3.

What Pulsify does not do here

  • Pulsify does not lodge or prepare your BAS.
  • It does not check bills already in Sage X3.

Common mistakes

  • Looking for the old GST report function, which is no longer active.
  • Creating a reporting period before the VAT boxes and the GST group are set up.
