How to get purchase invoice records in by email to Sage X3

Short answer

Set up one address for purchase invoice records. Ask each supplier to send invoices there. Read and enter each one into Sage X3, with the original file attached.

Getting bills in by email means suppliers or your team forward invoices to one address and the data is read and entered for you. What is invoice capture?

Before you start

  • Sage X3 Financials and Purchasing
  • Function and site rights for the screen

The Sage X3 way

Where to find it: Financials > Invoices > Purchase invoices

  1. The E-invoicing framework describes supplier invoices arriving as attachments to a dedicated email address or through Sage Network.
  2. OCR reads PDFs and images and XML files are parsed. Header data is mapped to the supplier and site.
  3. The invoice is created with a header and a generic line. You then code and match it in Purchasing or A/P-A/R accounting.

Limits in Sage X3

  • Documented for French and German legislation. Check availability for Australia with your partner.
  • The process is not fully automated. You complete the coding by hand.

Words Sage X3 uses

  • Site. A physical or legal location inside a company. Purchase flows run per site.

The Pulsify way

  1. Each company gets its own Pulsify forwarding address. Ask suppliers to send invoices there, or forward them yourself.
  2. Pulsify reads each attachment and works out if it is an invoice, a credit note or a statement.
  3. Pulsify finds the supplier in Sage X3 and codes each line.
  4. Review and approve. The purchase invoice is created in Sage X3 with the file attached.

Pulsify connects to Sage X3. We set up the connection for you.

What Pulsify does not do here

  • Unknown senders can be held until an admin allows them.
  • You can also upload files or take a photo in the app.

Common mistakes

  • Assuming the e-invoicing framework is set up for an Australian company.
  • Posting the generic line without coding it.
