An aged payables report lists what you owe each supplier, grouped by how overdue each bill is. What is accounts payable?
Before you start

- Function and site rights for the screen
The Sage X3 way
Where to find it: Reports > A/P-A/R accounting > Aged balance (NA-BPATB); Inquiries > Aged balance
- Run the Aged Trial Balance report (NA-BPATB).
- Set As of Date, Company, Site range, BP range and BP type = Supplier.
- Choose the aging basis: invoice date or due date.
- Choose Summary or detail. Buckets are 0-30, 31-60, 61-90 and over 91 days.
- The report criteria are As of Date, Company, Ledger, Site range, Range of collective account, BP range, Date basis for aging, BP type, Summary, Sort by name and Transaction currency.
- The report shows business partner, type, references, days old, base date and not due. Totals are by business partner and by the 0-30, 31-60, 61-90 and over 91 day buckets.
- Data is filtered by site according to your rights on function RPT09 (Print/group/acct).
- For a past date, open P/L and S/L accounting > Inquiries > Aged balance. You can also open it from the supplier record's toolbar. You must enter the BP, and the reference date is the pivot for placing amounts in interval columns.
Limits in Sage X3
- The Supplier aged bal to date inquiry rebuilds past balances but does not cover every case.
- The Supplier aged bal to date inquiry rebuilds history from flows in the upstream modules. Manual matching and unmatching are not part of that history.
- Example from the help: an invoice manually matched with two non-posted payments of different dates is treated as closed on the earlier of the two dates.
Good to know in Sage X3
- Printing by supplier gives an overview of paid and outstanding open items and is described as useful for payment decisions.
- The same report prints customer ageing, so check BP type before you print.
- The inquiry columns come from general parameters STRINT1 to 9, and only the first seven interval totals are displayed.
Words Sage X3 uses
- Site. A physical or legal location inside a company. Purchase flows run per site.
Common mistakes
- Leaving BP type on all instead of Supplier.
- Aging by invoice date when you want to see what is overdue.
