Closing the month in AP means making sure every bill for the month is entered, approved and coded and the payables balance ties out.

Before you start

  • Sage X3 Financials and Purchasing
  • Function and site rights for the screen

The Sage X3 way

Where to find it: Financials > Invoices > Purchase invoices

  1. Run Invoice validation for all saved and checked purchase invoices.
  2. Post payments and reconcile the AP control account.
  3. Close the accounting period.

What to watch in Sage X3

  • Start in Financials > Invoices > Purchase invoices. You need function and site rights for the screen.
  • Run Invoice validation for all saved and checked purchase invoices before anything else.
  • A posted invoice can no longer be modified. Use a reclass journal entry for a coding fix.
  • Invoice validation is described in the vendor help for version 12. Confirm the period close steps with your partner before you rely on them.
  • Close the accounting period only after the AP control account is reconciled.

The Pulsify way

  1. Clear the Pulsify queue: approve, reject or archive each bill waiting.
  2. Forward missing bills from suppliers to your Pulsify address.
  3. Reconcile key supplier statements in Pulsify.

Payments posted in the month$52,000.00Post payments
AP control account, difference after validation$0.00Reconcile before you close the period

After Invoice validation the AP control account agrees. The period is closed. A posted invoice can no longer be modified, so a late coding fix goes through a reclass journal entry.

Common mistakes

  • Closing the period with saved invoices not yet validated.
  • Not reconciling the AP control account before close.
