A mixed GST bill has some lines with GST and some without, such as taxable goods plus GST-free items. Each line needs its own GST code.
The SYSPRO way
Where to find it: Program List > Accounts Payable > Invoice Processing > AP Invoice Posting > Transaction pane and GL Distribution pane
- Enter the Transaction amount including tax and choose the Tax basis (Exclusive or Inclusive).
- Choose GL Distribution.
- Add a line for each ledger code. Each distribution line has its own Tax code, so give GST lines the GST code and free lines the free code.
- The system works out the tax for each line. If the tax you entered differs from the calculated tax, the Exclusive Tax window opens and you can use Change Tax Amounts to spread the difference.
- Post when the Undistributed value is zero.
Limits in SYSPRO
- Tax codes must be set up first in Tax Code Setup. SYSPRO help does not list Australian GST code names, so your partner sets those up.
- To distribute the taxable portion, the Tax distribution method must be Detail or Summary (Setup Options > Tax > Accounts Payable).
- When GRN suspense is on, the Tax basis is fixed to Exclusive.
Good to know in SYSPRO
- The tax code defaults from the ledger code first, then from the Transaction pane, then from the Default tax code setup option.
The Pulsify way
- Forward the supplier's invoice to your Pulsify address or upload it. Pulsify reads every line and finds the supplier in SYSPRO.
- Pulsify works out the GST rate for each line from what is printed and picks the matching tax code in SYSPRO.
- Check any line where the invoice is unclear. Change the tax code and approve.
- The supplier invoice is created in SYSPRO with the GST on each line.
Pulsify connects to SYSPRO. We set up the connection for you.
What Pulsify does not do here
- If the invoice does not show GST by line, Pulsify uses past bills for that supplier. Check those lines yourself.
Example in SYSPRO
Example Hardware Co sends one supplier invoice with $1,000 of fasteners that include GST and a $200 printed safety manual with no GST. Tax basis is Exclusive.
| Line | Amount | Tagged to |
|---|---|---|
| Fasteners | $1,000.00 | Tax code: your GST code |
| Safety manual | $200.00 | Tax code: your free code |
SYSPRO works out $100 tax on the first line only. The Transaction amount including tax is $1,300 and the Undistributed value reaches zero.
Common mistakes
- Clicking OK in the Exclusive Tax window without changing amounts, so tax on the reports differs from the return.
- Expecting to use an inclusive Tax basis when GRN suspense is on. The basis is fixed to Exclusive.

Common questions
Why did the Exclusive Tax window open?
It opens when the tax you entered differs from the tax SYSPRO calculated. Use Change Tax Amounts to spread the difference over the lines.
Who sets up the Australian GST codes?
Tax codes are set up first in Tax Code Setup. SYSPRO help does not list Australian GST code names, so your partner sets those up.
Can I distribute only the taxable portion?
Only when the Tax distribution method is Detail or Summary (Setup Options > Tax > Accounts Payable).
Does Pulsify code GST by line?
Yes. Pulsify sets a GST code on each line from the rate printed on that line and matches it to a tax code in your ledger.
