HOW-TO

How to keep an audit trail for bill records in MYOB Business

Short answer

MYOB help does not describe a log of who edited what on a bill. Activity history on the bill shows when it was created and any payments applied. Link the supplier document and run the Exceptions dashboard review.

Before you start

  • Access to the bill

The MYOB Business way

Where to find it: Purchases > Bills > open the bill > More information > Activity history

  1. Open Purchases > Bills and click the bill number. At the bottom under More information read the Activity history. It shows when the bill was created and any payments applied.
  2. Link the supplier document: click Link a source document, drag a file in or browse for it, select it and click Link. PDF, TIFF, JPEG and PNG files under 10MB are accepted.
  3. Click Open split view to see the document and the bill side by side. Hover over the bar at the top of the document to download or print it.
  4. Run a review: Reporting > Exceptions dashboard, choose the period and click Run review. Payables reconciliation exceptions compares unpaid bills to the linked payables account.

Limits in MYOB Business

  • Activity history shows when the bill was created and any payments applied. MYOB help does not describe a log of who edited what.
  • A bill that is paid in full cannot be edited until you delete its payment.
  • Only bill payments that are not reconciled or matched to a bank transaction can be deleted. Unreconcile or unmatch first.

Good to know in MYOB Business

  • To delete a payment, open the bill, click the payment's reference number in the Activity history, click Delete and confirm.
  • Unlinking a document returns it to Uploads, where it can be linked to another transaction.
  • After you change a supplier's details, open the bill and click Save to bring the new address onto an existing bill.
  • Available reports and reviews depend on your plan.

The Pulsify way

  1. Forward the invoice to Pulsify. The original file is kept with the bill.
  2. Set approval rules by supplier, amount or account. Add steps and a review step if needed.
  3. Rejections and approvals are recorded with the person and date. Rejections can carry a reason.
  4. On approval, the bill is created in MYOB Business with the file attached.

Pulsify connects to MYOB in one click. Approved bills are created in MYOB with the source file attached.

What Pulsify does not do here

  • Pulsify does not replace the record-keeping duties of your business.

Common mistakes

  • Expecting a log of who edited what. The Activity history does not show it.
