Applying a supplier credit note means recording the credit and allocating it against the bill it reduces, so you pay only the balance.
Before you start
- Purchases access
The MYOB Business way
Where to find it: Purchases > Create bill (negative amounts), then Purchases > Supplier returns
- Create the return as a bill with negative amounts for the credited lines.
- Open Purchases > Supplier returns.
- Select the return and click Apply to put it against one or more unpaid bills.
- Or click Refund to record money back into a bank account.
Limits in MYOB Business
- Amount applied cannot exceed the return.
Words MYOB Business uses
- Supplier return. A credit from a supplier, entered like a bill with negative amounts.
The Pulsify way
- Forward the supplier's credit note to your Pulsify address. Pulsify recognises it as a credit note.
- Pulsify flags a credit note with a missing or unknown original invoice, or an original smaller than the credit.
- Choose the original bill and approve.
- Pulsify creates the credit note in MYOB Business against the original bill.
Pulsify connects to MYOB in one click. Approved bills are created in MYOB with the source file attached.
What Pulsify does not do here
- Pulsify does not handle partial allocation across several bills.
- Credit note handling is limited to the cases listed above.
Example in MYOB Business
Example Hardware Wholesale issues a supplier return of $330.00 that you apply to two unpaid bills.
| Line | Amount | Tagged to |
|---|---|---|
| Supplier return | $330.00 | Total to apply |
| Applied to INV-52 ($550.00) | $200.00 | Balance owing $350.00 |
| Applied to INV-58 ($400.00) | $130.00 | Balance owing $270.00 |
The $330.00 return is fully applied. The two bills still owe $620.00 together.
Common mistakes
- Leaving the return unapplied, so the bills still show the full amount owing.
- Applying more than the return amount. MYOB Business does not allow it.
