Invoice capture for Sage 50

Short answer

Sage 50 has no built-in invoice capture. Pulsify gives each company its own email address, reads every invoice line by line and creates the purchase invoice in Sage 50.

Invoice capture means getting supplier invoices out of email and paper and into your system as data, without typing them in.

What Sage 50 does on its own

Sage 50 Accounts has no built-in reading of supplier invoices, no email-in address and no scanning step. Invoices are keyed by hand on the Batch invoice window under Suppliers. Many UK firms add a separate capture tool that posts into Sage 50.

  • Secondary sources only (partner blog and AccountingWeb) for the add-on names.

Good to know in Sage 50

  • Users name PaperLess, Dext and AutoEntry as add-ons that read invoices and send them on for checking in Sage 50.
  • The core Import option posts to the audit trail only. A Sage community reply says it does not create the invoice record that you can progress through the invoicing module.
  • Back up your data before any import and make sure the supplier accounts already exist.

What Pulsify adds

  1. Each company gets its own Pulsify forwarding address. Suppliers send invoices there, or you forward or upload them.
  2. Pulsify works out what each file is (invoice, credit note, supplier statement or purchase order) and splits a PDF that holds several invoices.
  3. It unwraps ZIP files and converts Word, Excel, CSV and phone photos.
  4. Each invoice is read into header fields and line items for review.
  5. On approval Pulsify creates the purchase invoice in Sage 50 with the source file attached.

Common questions

Can Sage 50 Accounts read a PDF invoice by itself?

The Sage help describes no built-in invoice reading. You key each invoice on the Batch invoice window. Users who want reading use an add-on such as PaperLess, Dext or AutoEntry.

Can I import supplier invoices from Excel into Sage 50?

A Sage community reply says you can import with File > Import using the Audit Trail Transaction templates. The import posts straight to the ledger, so it needs a backup and existing supplier accounts first.

Does Sage 50 have an email address for suppliers to send invoices to?

The Sage 50 Accounts help describes no email-in address. Invoices reach the ledger through manual entry, the import or a third-party add-on.

Do suppliers need to change anything?

No. They keep sending PDFs by email. You give them your Pulsify address or forward invoices to it yourself.
