DYNAMICS 365 FINANCE

Supplier price checks for Dynamics 365 Finance

Short answer

Dynamics 365 Finance has supplier price checks built in. Pulsify checks every line against the purchase order or a price list you upload for each vendor.

Last checked

A supplier price check compares the unit price on each bill line with the price you agreed, so overcharges are caught before you pay.

What Dynamics 365 Finance does on its own

Net unit price and price totals matching within a percent or amount tolerance.

What you need in Dynamics 365 Finance

  • Invoice matching validation on
  • Accounts payable administrator role

Setting it up in Dynamics 365 Finance

Where to find it: Accounts payable > Setup > Accounts payable parameters > Invoice validation

  1. Set the price tolerance as a percentage or an amount.
  2. Pick Net unit price or Price totals matching.
  3. Raise the order at the agreed price, since the order price is the base.
  4. Invoices outside tolerance show match variance icons.
  5. Set Post invoice with discrepancies to Require approval if a user should be able to approve a variance.

Good to know in Dynamics 365 Finance

How to do it in Dynamics 365 Finance

How to check vendor invoice lines against agreed vendor prices in Dynamics 365 Finance

Keep the agreed price list for each vendor outside Dynamics 365 Finance. Compare each vendor invoice unit price to the list and query any difference. Update the list when prices change.

How to set a price tolerance on purchase order matching in Dynamics 365 Finance

In Dynamics 365 Finance, decide how far a vendor invoice line may differ from the purchase order before a person must look at it. Set that limit where Dynamics 365 Finance allows one and name who can pass a difference.

What Pulsify adds

  1. Upload the prices you agreed with a supplier as a CSV. One price list per supplier, up to 100,000 items.
  2. Pulsify checks the unit price on every line of that supplier's bills against the list, by item code then exact description.
  3. Lines priced differently or not on the list are flagged.
  4. If a bill is matched to a purchase order, line prices are checked against the PO too.
  5. The approver sees the flag and decides.

Common questions

Does Finance check unit price against the order?

Yes. Pick Net unit price matching and set a tolerance as a percentage or amount. Invoices outside it show variance icons. A user can approve posting with the variance when Post invoice with discrepancies is set to Require approval.

Is the price tolerance in transaction or accounting currency?

It depends on the type. Price totals by percentage use transaction currency. By amount they use accounting currency.

How do I update a price list?

Upload the new CSV. It replaces the old list and open bills are checked again the next time they are opened.
