Checking against agreed prices means comparing the unit price on each invoice line to the price list or quote you agreed with the supplier.
Before you start
- Accounts payable admin
The Dynamics 365 Finance way
Where to find it: Invoice matching tolerance
- Price from the order is the base.
- Set the tolerance for net unit price.
- Invoices outside tolerance show variance icons.
Limits in Dynamics 365 Finance
- Trade agreements set prices on orders.
What to watch in Dynamics 365 Finance
- The price from the order is the base. Dynamics 365 Finance does not compare the invoice with a price list that never reached the order.
- Trade agreements set prices on orders, so the agreed price check starts when the order is raised.
- Set the tolerance on Net unit price in Accounts payable parameters > Invoice validation. Setting it on Price totals checks a different thing.
- You need an accounts payable admin role to change the tolerance.
The Pulsify way
- Upload a CSV price list for the vendor in Pulsify. Map the item code, description and unit price columns.
- Forward the supplier's invoice. Pulsify compares each line's unit price to the list.
- A higher or lower unit price is flagged. A line not on the list is marked.
- Approve or query the vendor.
Pulsify connects to Dynamics 365 Finance. We set up the connection for you.
What Pulsify does not do here
- Pulsify checks unit price only, not quantity.
- One unit price per item. No price history.
- A mismatch is a warning and does not block approval.
Example in Dynamics 365 Finance
Example Steel Fittings has an agreed price of $18.50 for a coupling. The trade agreement set that price on the purchase order. The vendor invoice arrives at $18.80.
| Line | Amount | Tagged to |
|---|---|---|
| Purchase order line, 40 couplings at $18.50 | $740.00 | Price from the order is the base |
| Vendor invoice line, 40 couplings at $18.80 | $752.00 | Outside the Net unit price tolerance, so a variance icon shows |
| Difference to query | $12.00 | Ask the vendor before you pay |
The $0.30 gap on 40 couplings is $12.00. The icon shows on the invoice. The AP clerk asks the vendor before the invoice is approved.
Common mistakes
- Expecting a check against a price list that never reached the order, because the base is the order price.
- Setting the tolerance on Price totals when you meant Net unit price.
