Checking against agreed prices means comparing the unit price on each invoice line to the price list or quote you agreed with the supplier.
The Kinetic way
Where to find it: AP Invoice Entry
- Receive against the PO and pick the receipt in Get Not Invoiced Receipts
- If the supplier price differs, key the actual price on the invoice
- The difference posts as a purchase price variance
Limits in Kinetic
- The price on a received PO line cannot be changed, so the difference goes to a variance account
- Kinetic has no price block, so a tolerance report is up to you
What to watch in Kinetic
- Kinetic has no price block. A tolerance report is up to you.
- The price on a received PO line cannot be changed. The difference goes to a variance account.
- Review the variance account on a set day each week. It is where price differences land.
- Screens and options can differ by Kinetic version, so test the steps on one supplier first.
The Pulsify way
- Upload a CSV price list for the supplier in Pulsify. Map the item code, description and unit price columns.
- Forward the supplier's invoice. Pulsify compares each line's unit price to the list.
- A higher or lower unit price is flagged. A line not on the list is marked.
- Approve or query the supplier.
Pulsify connects to Kinetic. We set up the connection for you.
What Pulsify does not do here
- Pulsify checks unit price only, not quantity.
- One unit price per item. No price history.
- A mismatch is a warning and does not block approval.
Example in Kinetic
Example Bearing Supplies has an agreed price of $12.00 a bearing on a purchase order. The plant receives 100 and the AP invoice charges $12.40.
| Line | Amount | Tagged to |
|---|---|---|
| Receipt picked in Get Not Invoiced Receipts, 100 at $12.00 | $1,200.00 | Price on the received PO line |
| AP invoice keyed at the supplier price, 100 at $12.40 | $1,240.00 | Actual price keyed on the invoice |
| Purchase price variance | $40.00 | Posts to a variance account |
The invoice posts with a $40 purchase price variance. The price on a received PO line cannot be changed, so the variance account holds the record until someone reviews it.
