HOW-TO

How to check voucher lines against agreed vendor prices in CloudSuite Industrial

Short answer

Keep the agreed price list for each vendor outside CloudSuite Industrial. Compare each voucher unit price to the list and query any difference. Update the list when prices change.

Checking against agreed prices means comparing the unit price on each invoice line to the price list or quote you agreed with the supplier.

Before you start

  • Voucher Authorization on

The CloudSuite Industrial way

Where to find it: Purchasing Parameters; Generate A/P Transactions

  1. With Voucher Authorization on, the PO line unit material cost is compared with the voucher cost within the Voucher Tolerance Over and Under percentages (set on Purchasing Parameters and on the vendor)
  2. Agreed prices can be held in Vendor Contract Prices (price breaks, effective date, Approved or Pending status) and flow into the PO

Limits in CloudSuite Industrial

  • Matching is to the PO price. Vouchers keyed manually in A/P always start as Failed

Words CloudSuite Industrial uses

  • Voucher. The record of a vendor invoice you owe. It is created in A/P Vouchers and Adjustments or generated from a PO receipt.

The Pulsify way

  1. Upload a CSV price list for the vendor in Pulsify. Map the item code, description and unit price columns.
  2. Forward the supplier's invoice. Pulsify compares each line's unit price to the list.
  3. A higher or lower unit price is flagged. A line not on the list is marked.
  4. Approve or query the vendor.

What Pulsify does not do here

  • Pulsify checks unit price only, not quantity.
  • One unit price per item. No price history.
  • A mismatch is a warning and does not block approval.

Common mistakes

  • Expecting a price check on a manually keyed voucher. It starts as Failed.
  • Not checking the effective date and status (Approved or Pending) on a Vendor Contract Price.
