Why it matters for manufacturers
- A cost per unit that is wrong by a few cents changes margin on every product that uses the material.
- Surcharges for steel, fuel and currency are added late and may not be in the supplier agreement.
For manufacturers in SYSPRO
- Set Maximum permitted variance under GRN variance. Only an operator with the password or the AP Override GRN variance eSignature can pass a bill outside it.
- Limit who holds that eSignature to a plant accounts lead, so price differences on raw materials are signed off.
- The GRN Invoice Variance report shows receipt against invoice differences for review.
- Use contract pricing on raw materials: a valid contract in Contract Price Maintenance and a Supplier Stock Code Cross Reference let the PO pick up supplier prices.
Rules that matter for manufacturers in SYSPRO
- The check is on value against the goods received note. It is not a check against a supplier price list in AP.
- Hold agreed prices on the PO through a valid contract in Contract Price Maintenance and a Supplier Stock Code Cross Reference.
- Set Ignore rounding variance less than (%) so rounding on a large raw material line does not stop posting.
What SYSPRO does on its own
SYSPRO compares the invoice merchandise value with the GRN value. If the gap is over the maximum GRN variance it warns that the acceptable variance is exceeded. It is a value check, not a supplier price list check.
- No supplier price list check in AP.
The GRN Invoice Variance report lists receipt and invoice differences.

Example
Example Rubber Compounds delivers 2,000 kg on a goods received note valued at $9,000 in merchandise. The invoice shows $9,900 merchandise value plus freight of $210. Maximum permitted variance is set under GRN variance.
| Line | Amount | What the check finds |
|---|---|---|
| Goods received note merchandise value | $9,000.00 | The matched value |
| Invoice merchandise value, net of tax, freight and miscellaneous | $9,900.00 | $900 over, so SYSPRO warns that the acceptable variance is exceeded |
| Freight line | $210.00 | Not part of the check |
Only the plant accounts lead with the AP Override GRN variance eSignature can pass the warning. The GRN Invoice Variance report lists the difference for the buyer.
Common mistakes for manufacturers in SYSPRO
- Sharing the override password with several clerks.

Common questions
Who should hold the GRN variance override in a plant?
Limit the AP Override GRN variance eSignature to one person such as a plant accounts lead, so price differences on raw materials are signed off.
Are small surcharges worth checking?
Yes. A $40 pallet fee on 300 deliveries a year is $12,000. Check recurring surcharges against the supply agreement and ask for them to be fixed in writing.
Who can override?
Operators with the password or eSignature.
