Multi-entity accounts payable in SYSPRO for manufacturers

Short answer

SYSPRO covers part of multi-entity accounts payable on its own. Many manufacturers run more than one plant or legal entity. Each may keep its own company or ledger with its own supplier list.

Why it matters for manufacturers

  • A supplier can invoice the wrong entity, which puts GST credits and cost in the wrong place.
  • Group-wide suppliers such as steel and gas are bought on one agreement but billed to several plants.

For manufacturers in SYSPRO

  • Create primary and secondary suppliers in AP Group Suppliers (Accounts Payable > Setup). The primary supplier receives one remittance.
  • Process payments in AP Group Payments. An intercompany group payment spans two or more SYSPRO companies and is started in the primary company.
  • All secondary companies must be on the same SYSPRO server as the primary. Use the Intercompany Currency Cross Reference where currency codes differ.
  • Open Browse on Group Suppliers from AP Group Payment Manual Allocation to pick the secondary supplier to pay. From there you can add a supplier group and change the secondary suppliers linked to a primary.
  • The primary SYSPRO company is where the group payment is processed and where the primary supplier sits. Secondary companies are updated by transactions started there.

What SYSPRO does on its own

SYSPRO runs several companies. Group suppliers support intercompany group payments that pay a primary supplier once. Consolidation uses a holding company that shares ledgers and the Financial Report Writer. Intercompany journals post matched entries to another company.

  • The SYSPRO help describes no consolidated AP view across companies.

Currency must exist in both the primary and secondary company. Use the Intercompany Currency Cross Reference where the currency codes differ.

Example

Example Gas Supplies sends one invoice covering bottled gas for Plant 1 in Sydney and Plant 2 in Brisbane, which are separate entities.

LineAmountWhat the check finds
Gas cylinders, Plant 1 Sydney$3,200.00Bill to Example Manufacturing East Pty Ltd
Gas cylinders, Plant 2 Brisbane$2,100.00Bill to Example Manufacturing North Pty Ltd
Cylinder rental, shared$300.00Split by agreed ratio

Each plant's cost is coded to its own entity and shared rental is split by the agreed ratio. Each entity claims only its own GST.

Common mistakes

  • Entering the whole invoice in one entity and fixing it later with an intercompany journal.
  • Using different supplier names for the same supplier in each entity, so group spend cannot be added up.

Common questions

Can SYSPRO pay several plant companies in one run?

Yes, through intercompany group payments. The payment is started in the primary company and updates secondary companies. All must be on the same SYSPRO server. The currency must exist in both companies; use the Intercompany Currency Cross Reference where the codes differ.

Should each entity have its own supplier record?

Usually yes. Give each entity its own record for the supplier, with the same ABN, name and terms. Matching names let you add up group spend on one supplier without mixing the books.

Do currency codes have to match across companies?

The currency must exist in both the primary and secondary company. Where the codes differ, link them with the Intercompany Currency Cross Reference.
