Supplier statement reconciliation in Dynamics 365 Finance for wholesalers

Short answer

Dynamics 365 Finance has no built-in supplier statement reconciliation. Wholesalers have many suppliers, and each sends a monthly statement. The statement is the only place a missing invoice, a missing credit or a bill paid twice shows up.

Why it matters for wholesalers

  • Statements often show invoices in a different order, with finance charges, rebates and unapplied payments mixed in.
  • A statement that disagrees with your records can mean you owe less or more than the ledger shows, which affects cash and who you call first.

For wholesalers in Dynamics 365 Finance

  • The pages we read describe no statement matching. Compare the Vendor open transactions report, which lists invoice number, voucher number, amounts and due date, with the supplier's statement.
  • Run Vendor open transactions with Open transactions per set to the statement date. Tick Exclude future settlement so items settled after that date still show as open on the statement date.
  • Check the Invoice date, not only the posting date. Invoice received date, Invoice date, Posting date and Due date are all kept. Entering the Invoice date recalculates the due date from your payment terms.

Rules that matter for wholesalers in Dynamics 365 Finance

  • Check the Invoice date and not only the posting date. Entering the Invoice date recalculates the due date from your payment terms.
  • Vendor aging can age by Transaction date, Due date or Document date. Pick the one that matches how the vendor ages its statement.
  • A basic food line is GST-free. Enter a missing invoice with the right sales tax code per line.

What Dynamics 365 Finance does on its own

Dynamics 365 Finance has no supplier statement reconciliation in the Microsoft help. The Vendor open transactions report lists open items at a date, and a person compares it with the supplier's statement by hand.

Vendor aging can age by Transaction date, Due date or Document date.

Example

Example Beverage Supplies sends a statement dated 30 June showing $27,300 owing. A payment of $6,000 was settled in Finance on 2 July. The Vendor open transactions report run on 5 July shows $21,300.

LineAmountWhat the check finds
Vendor open transactions, run to 30 June with Exclude future settlement ticked$27,300.00The $6,000 payment settled on 2 July still shows as open at 30 June
Invoice 40911, on the statement only$1,850.00Not entered. Enter it through a pending vendor invoice
Credit note CR-77, in Finance only-$420.00Supplier statement does not show it. Ask the vendor to apply it

Without the tick the report would show $21,300 and look $6,000 out. With it, the only differences are the missing invoice and the credit the vendor has not applied.

Common mistakes for wholesalers in Dynamics 365 Finance

  • Running Vendor open transactions at today's date when the statement is for month end.
  • Entering a missing credit note as a positive invoice.
  • Paying the statement total before comparing line by line.

Common questions

Does Finance reconcile supplier statements?

Not in the pages we read. A person compares the Vendor open transactions report with the supplier's statement by hand. The report lists invoice number, voucher number, amounts and payment due date, which are the fields a statement line carries.

How often should a wholesaler reconcile supplier statements?

Monthly for every active supplier and weekly for the top 10 by spend. Match each statement line to a bill or credit note in the ledger and chase the gaps before the pay run.

Can I age the vendor balance by due date?

Yes. Run Vendor aging and pick Transaction date, Due date or Document date, then set intervals or an aging period definition and the Balance as of date.
