Why it matters for wholesalers
- Statements often show invoices in a different order, with finance charges, rebates and unapplied payments mixed in.
- A statement that disagrees with your records can mean you owe less or more than the ledger shows, which affects cash and who you call first.
For wholesalers in Kinetic
- Run the AP Received Not Invoiced report (Financial Management > Accounts Payable > Reports) before the statement run. It shows received goods with no bill, so you can tell a supplier which receipts are still open.
- Partly invoiced lines show Received Qty, Invoice, Legal Number and Matched Qty, which helps explain gaps against a supplier statement.
Rules that matter for wholesalers in Kinetic
- Kinetic's subledger to GL reconciliation ties AP to the ledger. It does not check a supplier's own statement.
- Partly invoiced lines show Received Qty, Invoice, Legal Number and Matched Qty, which explains many gaps.
- A rebate or settlement document on a statement sits outside the invoice list. Ask the supplier for the document.
What Kinetic does on its own
Kinetic has no supplier statement reconcile screen. Teams compare the supplier balance with the statement by hand using the AP reports. Kinetic does have a subledger to GL reconciliation, but that ties AP to the ledger and does not check a supplier's own statement.
A write-up on GL and subledger reconciliation in Kinetic covers ledger tie out, not supplier statements.

Example
Example Cleaning Wholesale sends a statement for $9,640. Kinetic shows $8,900 open for the supplier. One delivery has been received but the supplier has not billed it yet.
| Line | Amount | What the check finds |
|---|---|---|
| Open invoices matched to the statement | $8,900.00 | Compared line by line using an AP report for the same date |
| Invoice on the statement and not in Kinetic | $740.00 | Ask for a copy. Check for bills not yet entered |
| Receipt on AP Received Not Invoiced | $1,100.00 | Goods received and not billed. Tell the supplier it is still open |
The $740 gap is the unentered invoice. The $1,100 receipt is a separate point. The Hold Payment flag keeps a disputed invoice out of the payment group until it is settled.
Common mistakes for wholesalers in Kinetic
- Reading a ledger tie out as proof the supplier's statement agrees.
- Running AP Received Not Invoiced after the statement run instead of before.
- Paying a disputed invoice because it was in the payment group.

Common questions
Does Kinetic reconcile a wholesaler's supplier statements?
No. Kinetic has no statement screen. Compare the supplier statement with the AP reports by hand. The AP Received Not Invoiced report is a useful first check for goods you have received that the supplier has not billed yet.
What do I do with an invoice that is on the statement but not in my ledger?
Ask the supplier for a copy and a delivery docket. Do not pay until you have matched it to a receipt. If it is valid, enter it with the right date so your accruals are right.
