Supplier statement reconciliation in NetSuite for wholesalers

Short answer

NetSuite has no built-in supplier statement reconciliation. Wholesalers have many suppliers, and each sends a monthly statement. The statement is the only place a missing invoice, a missing credit or a bill paid twice shows up.

Why it matters for wholesalers

  • Statements often show invoices in a different order, with finance charges, rebates and unapplied payments mixed in.
  • A statement that disagrees with your records can mean you owe less or more than the ledger shows, which affects cash and who you call first.

For wholesalers in NetSuite

  • Oracle's help describes no statement import or matching. Run the A/P Aging report for the vendor and tick it off against the supplier's statement line by line.
  • For a bill the supplier is disputing, tick Payment Hold on the vendor bill. The Make Payment button is removed and the bill stays off the Bill Payments page until you clear the box.
  • Key the supplier's invoice number in Reference No. It shows on reports such as the Accounts Payable Register, so you can tick statement lines off against that report as well as the aging report.
  • Put the statement reference or delivery docket number in the Memo field of a freight bill.

What NetSuite does on its own

NetSuite has no supplier statement import or matching in the help. The A/P Aging reports show what NetSuite owes each vendor, and a person compares that to the supplier's statement by hand. The statement reconciliation Oracle describes is for bank accounts.

A bill with no Due Date does not appear on aging reports.

Example

Example Carton Co sends a vendor statement showing $18,440 owing. Your ledger shows $16,640.

LineAmountWhat the check finds
Invoices on both the statement and the ledger$16,940.00Match
Invoice 5188, on statement only$1,500.00Missing from ledger, ask for a copy
Credit note CN-211, in ledger only-$300.00Supplier has not applied the credit

The $1,800 gap is the $1,500 invoice missing from the ledger plus the $300 credit the supplier has not applied. Both go back to the supplier before the next pay run.

Common mistakes

  • Paying from the statement total without checking each line against the ledger.
  • Leaving credits unmatched on the statement, so the supplier collects money you are not owed.

Common questions

Does NetSuite reconcile a supplier statement for me?

Oracle's help describes no supplier statement matching. Wholesalers compare the A/P Aging report for the vendor with the statement by hand. A bill in dispute can be kept out of the next payment run with the Payment Hold box.

What do I do with an invoice that is on the statement but not in my ledger?

Ask the supplier for a copy and a delivery docket. Do not pay until you have matched it to an item receipt. If it is valid, enter it with the right date so your accruals are right.

Does NetSuite reconcile vendor statements?

The help does not describe it. The reconciliation tools are for bank accounts. For supplier statements, run A/P Aging Detail and compare it to the statement by hand, or use a partner tool.
