Closing the month in AP means making sure every bill for the month is entered, approved and coded and the payables balance ties out.

Before you start

  • Edit or Full Manage Accounting Periods permission plus Override Period Restrictions to complete all tasks

The NetSuite way

Where to find it: Setup > Accounting > Manage GL > Manage Accounting Periods > Checklist icon

  1. Go to Setup > Accounting > Manage GL > Manage Accounting Periods and click the Checklist icon for the period.
  2. Work down the tasks in order. Lock A/P (and A/R) first to stop postings.
  3. Reconcile A/P to the A/P Aging report yourself.
  4. Click Close on the checklist, then Close Period.

Limits in NetSuite

  • Earlier periods must be closed before you can finish other tasks.
  • Quick Close only marks tasks done without running them.
  • A closed period can be reopened with a justification, and later closed periods reopen too.

Words NetSuite uses

  • A/P Aging. The report listing unpaid bills by how overdue they are.

The Pulsify way

  1. Clear the Pulsify queue: approve, reject or archive each bill waiting.
  2. Forward missing bills from suppliers to your Pulsify address.
  3. Reconcile key supplier statements in Pulsify.
  4. Then run reports and lock the period in NetSuite.

What Pulsify does not do here

  • Pulsify does not post accruals.
  • Aged payables and period locks are in NetSuite.

Common mistakes

  • Using Quick Close and assuming the tasks ran, when it only marks them done without running them.
  • Reopening an old period without noticing that later closed periods reopen too.
