Applying a supplier credit note means recording the credit and allocating it against the bill it reduces, so you pay only the balance.
Before you start
- Permission: Vendor Credits (Edit)
The NetSuite way
Where to find it: Transactions > Payables > Enter Vendor Credits
- Go to Transactions > Payables > Enter Vendor Credits.
- Pick the Vendor, check the A/P Account, Reference No. and posting period, then add the credit lines.
- To apply it, tick Auto-Apply (oldest bills first) or open the Apply subtab and tick the bills. You can also apply part of a credit.
- Or apply it when paying: Transactions > Payables > Pay Bills, tick Pay beside the bill and the credit.
- Save.
Limits in NetSuite
- You need open bills from that vendor to apply a credit.
- The total amount cannot be negative.
- Deleting a bill payment does not unapply credits, so unapply them yourself.
Good to know in NetSuite
- A credit can be entered by hand with no bill, or created from an existing bill.
Words NetSuite uses
- Vendor credit. The NetSuite record for a supplier credit note.
The Pulsify way
- Forward the supplier's credit note to your Pulsify address. Pulsify recognises it as a credit note.
- Pulsify flags a credit note with a missing or unknown original invoice, or an original smaller than the credit.
- Choose the original bill and approve.
- Pulsify creates the credit note in NetSuite against the original bill.
Pulsify connects to NetSuite. We set up the connection for you.
What Pulsify does not do here
- Pulsify does not handle partial allocation across several bills.
- Credit note handling is limited to the cases listed above.
Common mistakes
- Deleting a bill payment and assuming the credit is free again, when it stays applied.
- Trying to apply a credit when the vendor has no open bills.
