Why it matters for wholesalers
- Statements often show invoices in a different order, with finance charges, rebates and unapplied payments mixed in.
- A statement that disagrees with your records can mean you owe less or more than the ledger shows, which affects cash and who you call first.
For wholesalers in SAP B1
- Run Vendor Liabilities Aging with the Aging Date set to the statement date. Use Group By vendor so the total lines up with the supplier's statement total.
- On the report choose Age By due date, posting date or document date to match how the supplier ages its own statement.
- Tick Display Reconciled Transactions to see paid items that the supplier may still show as open.
- Documents with instalments show one row per instalment, so expect more rows than the supplier lists.
- The aging report shows a BP Ref. No. column and Number of Days Outstanding, which is the gap between due date and aging date. Use BP Ref. No. to match statement lines to bills.
- A bill due after the aging date sits in the Future Remit column. For example a $100 bill due 1 May with an aging date of 28 April shows as Future Remit, so set the aging date to the statement date.
- For imported stock billed in foreign currency, tick Translate Leading Currency at Aging Date to see values at the aging date rate, not the posted rate.
What SAP B1 does on its own
There is no statement import. Staff compare the vendor account with the supplier's statement by hand and use Internal Reconciliation to match open items.
Business One has no statement import.

Example
Example Carton Co sends a vendor statement showing $18,440 owing. Your ledger shows $16,640.
| Line | Amount | What the check finds |
|---|---|---|
| Invoices on both the statement and the ledger | $16,940.00 | Match |
| Invoice 5188, on statement only | $1,500.00 | Missing from ledger, ask for a copy |
| Credit note CN-211, in ledger only | -$300.00 | Supplier has not applied the credit |
The $1,800 gap is the $1,500 invoice missing from the ledger plus the $300 credit the supplier has not applied. Both go back to the supplier before the next pay run.
Common mistakes
- Paying from the statement total without checking each line against the ledger.
- Leaving credits unmatched on the statement, so the supplier collects money you are not owed.

Common questions
How does a wholesaler check a supplier statement in Business One?
There is no statement import. Run Vendor Liabilities Aging at the statement date, grouped by vendor and aged by the same date the supplier uses. Compare it to the statement line by line, then match open items with Internal Reconciliation.
How often should a wholesaler reconcile supplier statements?
Monthly for every active supplier and weekly for the top 10 by spend. Match each statement line to a bill or credit note in the ledger and chase the gaps before the pay run.
Can Business One import a supplier statement?
No. Business One has no statement import. The check is done by hand.
