HOW-TO

How to check GST coding on A/P invoice records in SAP B1 before you lodge your BAS

Short answer

In SAP B1, run the GST report by tax code for the period. Review large bills, new suppliers and freight, fix wrong tax code entries and check you hold a tax invoice for each credit.

A pre-BAS GST check means reviewing bills for wrong tax codes, missing tax invoices and suppliers not registered for GST before you claim credits.

Before you start

  • Extended Tax Reporting ticked and period type set in Company Details > Accounting Data
  • BAS codes defined (Administration > Setup > Financials > Tax > BAS Code Definitions)

The SAP B1 way

Where to find it: Administration > System Initialization > Company Details > Accounting Data (tick Extended Tax Reporting); Financials > Financial Reports > Accounting > Tax > BAS Report Generation

  1. Tick Extended Tax Reporting and set the Period Type for Report Generation in Company Details.
  2. Check or add BAS codes in BAS Code Definitions.
  3. Open BAS Report Generation. Choose Original, Replacement or Adjusted and the year and period.
  4. Review the documents and transactions grouped by BAS code. Edit manual codes.
  5. Choose Add to save the report.

Limits in SAP B1

  • Other Australia tax reports in the help: Tax Report, Withholding Tax Report, Tax Reconciliation Report, Tax Declaration Box Report.

The Pulsify way

  1. Forward bills to Pulsify through the period.
  2. Pulsify sets a GST code on each line from the rate printed on that line.
  3. Pulsify flags a supplier ABN that is not registered for GST when GST is charged.
  4. Review flags before approval, so fewer errors reach SAP B1.

What Pulsify does not do here

  • Pulsify does not lodge or prepare your BAS.
  • It does not check bills already in SAP B1.

Common mistakes

  • Running BAS Report Generation before Extended Tax Reporting is ticked.
  • Not defining BAS codes, so rows have nowhere to group.
