HOW-TO

How to put a disputed vendor invoice on hold in SAP B1

Short answer

In SAP B1, keep the A/P invoice out of the payment run with a note on what is disputed and who is chasing. Tell the vendor in writing and record the A/P credit memo when it arrives.

Putting a disputed bill on hold means stopping it from being paid while you sort out the problem with the supplier.

Before you start

  • Document edit

The SAP B1 way

Where to find it: A/P Invoice > Accounting tab > Payment Block

  1. Open the A/P invoice and go to the Accounting tab.
  2. Tick Payment Block and pick a block reason. If the reason you need is missing, add it first: Business Partner Master Data > Payment Run tab > Payment Blocks > Define New, type the reason and choose Update.
  3. Update the invoice. The payment wizard leaves blocked documents out of a payment run.
  4. Untick Payment Block when the dispute is settled.
  5. To block every invoice from a vendor, tick Payment Block on the vendor's Payment Run tab. All documents created for that partner are then blocked automatically.

Limits in SAP B1

  • Payment due date and method can still be changed on a posted invoice if it is not paid or copied.
  • You can edit the due date, payment method and pay-to data of a posted A/P invoice only if it has not been paid or copied. You need full authorisation to modify posted A/P documents.

Good to know in SAP B1

  • Changes to a posted invoice show in the change log. A reprint carries all changes and the title Amended.
  • If the dispute ends in a lower bill, post an A/P credit memo against the invoice. A credit memo clears the invoice partly or fully.

Words SAP B1 uses

  • Business partner. The master record for a vendor or customer.

The Pulsify way

  1. Forward the invoice to Pulsify. It flags price and quantity differences against the PO and possible duplicates.
  2. If you disagree with the bill, reject it with a reason. The reason is saved with the bill.
  3. When the corrected invoice or credit note arrives, forward it and approve it.

What Pulsify does not do here

  • Pulsify does not have a dispute status or a hold on payment.
  • Payment runs happen in SAP B1.

Common mistakes

  • Ticking Payment Block but not picking a reason, so nobody knows why it is held.
  • Forgetting to untick the block after the dispute is settled.

Common questions

How do I stop an invoice being paid while it is disputed?

Open the A/P invoice, go to the Accounting tab, tick Payment Block and pick the block reason. Untick it when the dispute is settled.

Can I still change the due date?

Yes. Payment due date and method can still be changed on a posted invoice if it is not paid or copied.

Is there a separate hold status?

The vendor help describes the Payment Block field on the Accounting tab. That is the hold route to use.

Does Pulsify have a hold status?

No. You can reject with a reason in Pulsify. Keep the bill out of payment runs in your accounting system.
