Matching a bill to a purchase order means checking the invoice lines against what was ordered (and sometimes received) before you pay. What is purchase order?
Before you start
- Purchase order and goods receipt PO
The SAP B1 way
Where to find it: Goods Receipt PO > Copy To > A/P Invoice, or A/P Invoice > Copy From > Goods Receipt PO
- Copy from the goods receipt PO.
- Check price and quantity.
- Add.
Limits in SAP B1
- Business One has no price tolerance on this copy.
Words SAP B1 uses
- Goods receipt PO. The document that records goods arriving against a PO.
- Copy From. Button that creates a new document from an earlier one, such as an invoice from a PO.
The Pulsify way
- Sync your open POs from SAP B1 to Pulsify.
- Forward the supplier's invoice. Pulsify links it to the right purchase order.
- Pulsify matches each line on quantity and unit price, to within 1 cent.
- Review flags for price differences, extra quantity and lines not on the PO.
- Approve. The A/P invoice is created in SAP B1 against the purchase order.
Pulsify connects to SAP B1. We set up the connection for you.
What Pulsify does not do here
- Pulsify has no tolerance setting. It compares to the cent.
- Flags are warnings. Your approver decides.
Common mistakes
- Copying the whole goods receipt PO without checking the invoice price against the copied row.
- Skipping the goods receipt and billing straight from the order, so the delivery is not on record.

Common questions
How do I match an A/P invoice to a purchase order?
Copy from the goods receipt PO into the A/P invoice, or copy the goods receipt PO to an A/P invoice. Then check price and quantity before you add the invoice.
Is there a price tolerance on this copy?
The SAP help does not mention one. Treat the price and quantity check as something you do by eye on the copied rows.
Do I need the goods receipt first?
Yes for this route. It starts from a purchase order and a goods receipt PO. The help describes the copy paths but does not describe the matching checks in detail.
What does Pulsify flag?
A unit price that differs from the PO, a quantity above the PO line and lines that are not on the PO.
