Matching a bill to a purchase order means checking the invoice lines against what was ordered (and sometimes received) before you pay. What is purchase order?
Before you start
- Purchase Orders module
- Inventory for receipts
The MYOB Acumatica way
Where to find it: Bills and Adjustments > Details tab > Add PO or Add PO Receipt
- Open the bill and click Add PO or Add PO Receipt. Pick the orders or receipts.
- The lines fill in with the quantities and costs.
- Check them against the supplier invoice and save.
- Use Link Line to link a manually added stock line to a PO, receipt or landed cost line.
Limits in MYOB Acumatica
- Add PO is for non-stock items or services and for stock items allowed to bill before receipt.
- If the bill unit cost differs from the receipt, the difference posts to a purchase price variance.
The Pulsify way
- Sync your open POs from MYOB Acumatica to Pulsify.
- Forward the supplier's invoice. Pulsify links it to the right purchase order.
- Pulsify matches each line on quantity and unit price, to within 1 cent.
- Review flags for price differences, extra quantity and lines not on the PO.
- Approve. The bill is created in MYOB Acumatica against the purchase order.
Pulsify connects to MYOB Acumatica. We set up the connection for you.
What Pulsify does not do here
- Pulsify has no tolerance setting. It compares to the cent.
- Flags are warnings. Your approver decides.
Example in MYOB Acumatica
Example Hydraulics Supplies bills 20 hoses that arrived on one purchase receipt. The receipt cost is $40 each. The invoice says $42 each. Prices exclude GST.
| Line | Amount | Tagged to |
|---|---|---|
| Hoses, 20 at $40 on the receipt | $800.00 | Add PO Receipt line |
| Price difference, 20 at $2 | $40.00 | Purchase price variance |
The bill totals $840 before GST. $800 matches the receipt and the $40 difference posts to a purchase price variance.
Common mistakes
- Using Add PO for a stock item that is not allowed to bill before receipt. Add PO suits non-stock items and services.
- Saving the pulled lines without checking them against the supplier invoice.
