Matching a bill to a purchase order means checking the invoice lines against what was ordered (and sometimes received) before you pay. What is purchase order?

Before you start

  • Sage 300 Purchase Orders
  • Accounts Payable

The Sage 300 way

Where to find it: Purchase Orders > P/O Transactions > Invoice Entry

  1. Create the PO (Purchase Order Entry) and the receipt (Receipt Entry).
  2. Open P/O Transactions > Invoice Entry and type the vendor Invoice Number.
  3. Enter the Receipt Number, or choose From Multiple Receipts and pick the receipts.
  4. The invoice shows the receipt information. Edit cost or quantity where the vendor invoice differs, then post.
  5. Cost differences post to the payables clearing account.

Limits in Sage 300

  • The match is done by invoicing from the receipt. The Purchase Orders guide has no percentage tolerance setting.
  • You cannot partially invoice receipts of serialized or lotted items.

Good to know in Sage 300

  • Third-party add-ons exist for three-way match.

The Pulsify way

  1. Sync your open POs from Sage 300 to Pulsify.
  2. Forward the supplier's invoice. Pulsify links it to the right purchase order.
  3. Pulsify matches each line on quantity and unit price, to within 1 cent.
  4. Review flags for price differences, extra quantity and lines not on the PO.
  5. Approve. The A/P invoice is created in Sage 300 against the purchase order.

What Pulsify does not do here

  • Pulsify has no tolerance setting. It compares to the cent.
  • Flags are warnings. Your approver decides.

Common mistakes

  • Posting an invoice from a receipt without editing the cost when the vendor invoice differs.
  • Trying to partly invoice receipts of serialized or lotted items, which Sage 300 does not allow.
