HOW-TO

How to check A/P invoice lines against agreed vendor prices in Sage 300

Short answer

Keep the agreed price list for each vendor outside Sage 300. Compare each A/P invoice unit price to the list and query any difference. Update the list when prices change.

Checking against agreed prices means comparing the unit price on each invoice line to the price list or quote you agreed with the supplier.

Before you start

  • Sage 300 Purchase Orders (Vendor Contract Costs)

The Sage 300 way

Where to find it: Purchase Orders > P/O Setup > Vendor Contract Costs

  1. Open P/O Setup > Vendor Contract Costs and click New.
  2. Enter the vendor number and pick each item. Fill in the cost, discount and tax information, then click Add.
  3. The contract cost then fills in as the default cost on purchase orders, receipts, invoices, returns and credit or debit notes.

Limits in Sage 300

  • The guide does not describe a warning when an invoice cost differs from the agreed cost. The user can see the default and type over it.
  • Only works for stocked items that have a contract cost record.

The Pulsify way

  1. Upload a CSV price list for the vendor in Pulsify. Map the item code, description and unit price columns.
  2. Forward the supplier's invoice. Pulsify compares each line's unit price to the list.
  3. A higher or lower unit price is flagged. A line not on the list is marked.
  4. Approve or query the vendor.

What Pulsify does not do here

  • Pulsify checks unit price only, not quantity.
  • One unit price per item. No price history.
  • A mismatch is a warning and does not block approval.

Common mistakes

  • Typing over the contract cost on an invoice without checking why it differs.
  • Expecting contract costs to cover items that are not stocked items.
