HOW-TO

How to check purchase invoice lines against agreed vendor prices in Business Central

Short answer

Keep the agreed price list for each vendor outside Business Central. Compare each purchase invoice unit price to the list and query any difference. Update the list when prices change.

The Business Central way

Where to find it: Purchase Prices and Purchase Line Discounts

  1. Open Vendors, open the vendor card and choose Prices. In the new pricing experience choose Purchase Price Lists, then New.
  2. Add a line for each special price: vendor, item, minimum quantity, unit of measure and starting and ending dates. Use Suggest Lines to add many items by filter, or Copy Lines from another price list.
  3. Set the price list Status to Active so it is used.
  4. Add line discounts the same way with the Line Discounts action, and invoice discount terms with the Invoice Disc. Code field and the Invoice Discounts action on the vendor card.
  5. On a purchase line the lowest permitted price and the highest permitted line discount fill in. Compare the line with the vendor's invoice before you post.

Limits in Business Central

  • It sets the price on entry. A warning when a vendor invoice differs was not found.
  • The vendor used to find prices depends on the experience. The current experience uses Pay-to Vendor No. and the new one uses Buy-from Vendor No.
  • Invoice discounts use the invoice discount code of the pay-to vendor in both experiences.

Good to know in Business Central

  • Purchases & Payables Setup has a Discount Posting field: All Discounts, Invoice Discounts, Line Discounts or No Discounts. It decides which discounts post separately and which are subtracted.
  • You can also set prices from the item card, because they are tied to an item and vendor together.
  • Vendor invoice discounts can be set by currency, with a Minimum Amount and a Discount % per line, and a service charge can be tied to an amount.

The Pulsify way

  1. Upload a CSV price list for the vendor in Pulsify. Map the item code, description and unit price columns.
  2. Forward the supplier's invoice. Pulsify compares each line's unit price to the list.
  3. A higher or lower unit price is flagged. A line not on the list is marked.
  4. Approve or query the vendor.

What Pulsify does not do here

  • Pulsify checks unit price only, not quantity.
  • One unit price per item. No price history.
  • A mismatch is a warning and does not block approval.

Common mistakes

  • Expecting a warning when the supplier's invoice price differs.
  • Recording a price without checking the minimum quantity and unit, which decide when it fills in.
