HOW-TO

How to check purchase invoice lines against agreed supplier prices in Sage 200

Short answer

Keep the agreed price list for each supplier outside Sage 200. Compare each purchase invoice unit price to the list and query any difference. Update the list when prices change.

Checking against agreed prices means comparing the unit price on each invoice line to the price list or quote you agreed with the supplier.

Before you start

  • Sage 200 Purchase Order Processing

The Sage 200 way

Where to find it: Purchase Order Processing > Purchase Orders > Supplier Stock Items

  1. Keep supplier list prices on Supplier Stock Items (list price, expiry date).
  2. Import supplier prices for a supplier if you have a file.
  3. When recording the invoice accept or amend the price derived from the order.

Limits in Sage 200

  • Prices are checked only against the order price. No tolerance percentage found.

The Pulsify way

  1. Upload a CSV price list for the supplier in Pulsify. Map the item code, description and unit price columns.
  2. Forward the supplier's invoice. Pulsify compares each line's unit price to the list.
  3. A higher or lower unit price is flagged. A line not on the list is marked.
  4. Approve or query the supplier.

What Pulsify does not do here

  • Pulsify checks unit price only, not quantity.
  • One unit price per item. No price history.
  • A mismatch is a warning and does not block approval.

Common mistakes

  • Letting supplier list prices pass their expiry date.
  • Accepting the order price on the invoice without comparing it to the supplier's invoice.
