Duplicate payment is when the same supplier invoice is entered or paid more than once. It often happens when an invoice arrives by two routes.
Before you start
- Sage 200 Purchase Order Processing
The Sage 200 way
Where to find it: Purchase Order Processing > Record Purchase Invoice
- Enter the invoice reference and date before recording.
- Sage 200 checks for an existing record with the same reference and date and shows a warning.
Limits in Sage 200
- The check is optional and compares reference and date.
The Pulsify way
- Forward the supplier's invoice to Pulsify.
- Pulsify compares the invoice number with punctuation and case ignored, plus the same supplier, invoice date or tax ID.
- It checks other Pulsify documents and active bills in Sage 200.
- A possible duplicate is flagged. Open the match, then reject or approve anyway.
Pulsify connects to Sage 200. We set up the connection for you.
What Pulsify does not do here
- Pulsify flags. You decide.
- A duplicate with a quite different invoice number may not be found.
Common mistakes
- Leaving the reference and date blank, so no duplicate check can run.
- Assuming an invoice entered directly in the Purchase Ledger gets the same warning.

Common questions
How does Sage 200 warn about duplicates?
In Purchase Order Processing > Record Purchase Invoice, enter the invoice reference and date first. Sage 200 checks for an existing record with the same reference and date and shows a warning.
Is the check always on?
No. It is optional and only compares reference and date, so it runs when you enter both before recording.
Does it cover invoices entered straight into the Purchase Ledger?
The warning was confirmed for invoices recorded through POP only. Direct Purchase Ledger invoices were not checked, so do not rely on it there.
What does Pulsify check?
The invoice number with punctuation and case ignored, plus the same supplier, invoice date or tax ID.
