The Sage 200 way

Where to find it: Purchase Order Processing > Order Processing > Record Purchase Invoice

  1. On Record Purchase Invoice, select the order or GRN lines. The expected invoice quantity and price come from the purchase order.
  2. Accept or change the quantity in Qty to be Invoiced and the price in Discounted Unit Price to match the supplier invoice.
  3. If you enter goods and VAT totals for the invoice and they do not match the selected lines, an Invoice Values Warning shows when you post.
  4. The difference between the order price and the invoice price posts to the Cost Price Differences nominal account (set in POP settings).

Limits in Sage 200

  • No percentage or amount tolerance setting was found in the POP order processing settings.
  • The check is a warning on totals and a price difference posting, not a block set by a tolerance.

Words Sage 200 uses

  • GRN. Goods received note. It records stock that arrived.
  • POP. Purchase Order Processing, the Sage 200 purchasing module.

Common mistakes

  • Not setting the Cost Price Differences nominal account in POP settings.
  • Changing Discounted Unit Price to match the supplier invoice without asking why it differs from the order.
